Defining scheduled notification rules

Use this type of notification rule to create a notification that you can submit manually or schedule. You can create a notification rule to notify the resources or manager that they need to register for an activity, to notify participants that the date of a session is approaching, or to notify managers that registration requests are awaiting their approval.

Note: Scheduled notifications are not triggered automatically by a change in status. The learning manager must manually submit or schedule these notifications under Development Planning > Utilities > Notifications And Correspondence.
  1. Select Development Planning > Set Up > Notifications > Notification Rules.

    Open or highlight the notification template for which to define notification rules, and click the Rules Using This Template tab.

  2. On the Notification Rules list, select New > Create Scheduled Notifications.
  3. Specify this information:
    Effective Date

    Specify the effective date.

    Notification Rule

    Specify the name of the registration rule.

    Description

    Specify the description of the notification rule. If left blank, the notification rule name displays.

    Active

    The notification rule is inactive by default. To activate the notification rule, select the check box. Inactive notification rules cannot trigger notifications.

    Send Notification When
    • Select Registrations Needing Approval to create a notification rule that will remind managers that they have outstanding unapproved registration requests.

      Note: This option is applicable only if your organization requires manager approval of employee-initiated registrations.
    • Select Session Start Date Approaching to create a notification rule that will remind participants that a session start date is approaching.

    • Select Activities Needing Registration to create a notification rule that will remind managers and/or resources that they have activities that they should register for.

    Template

    Select the notification template to which this notification is attached. If you are accessing this form from a notification template, this field is already populated.

    Save Correspondence

    By default, each notification creates a copy of the email sent in Development PlanningUtilities > Notifications And Correspondence > Correspondence. If you do not want this notification rule to retain correspondence records, select No.

  4. Click OK to save the notification rule.

    The Attachments tab displays.

  5. Attach one or more documents to the notification rule. See Attaching documents to notification rules.
