Making compensation awards (Compensation Analyst)

Compensation analysts can make market compensation, merit, promotion, bonus, and equity awards on behalf of any managers. They can also release budgets to other levels of managers up or down the manager structure.

  1. Select Compensation > Awarding > Awarding Process > Manager Awarding Views.
  2. To view the Awarding form as it is displayed to the manager, open the manager record for the compensation awarding view. To view the Awarding form by rule, click the View By Rule link next to the record.
    On the Awarding form, the remaining budgeted amounts for each planning rule that is attached to the view is displayed on the header. The progress information for % Awarded and % Completed for the awarding view is also displayed.

    The Totals tab contains budget and award totals by rule.

    The Metrics tab contains a Pay For Performance chart with an analysis of performance ratings and salary structure information.

    The Awarding tab contains all of the manager's resources that have awarding records. For more information about creating awarding records, see Calculating resource budgets.

    For each resource, the compensation analyst can view this information to help in their decision making:

    Note: The tabs that are displayed depend on the selections for the compensation awarding view.
    • The Guidelines tab contains the guidelines that are applicable to the resource and the complete guidelines that you defined for each type of award.

      For information about creating awarding guidelines, see Defining guidelines for planning rules.

      For example, if a guideline is based on a resource's performance, the recommended award for the resource is displayed on the Guideline tab. This award is based on the resource's performance and the entire set of performance-based guidelines for all resources.

    • The Salary Structure tab can be used by the compensation analyst to assess where the resource is in the salary structure range.
      Note: Resources that are below the salary range are flagged. Salary adjustments to bring rates up to the minimum can be precalculated on a market adjustment planning rule.
    • The History tab contains this information:
      • The resource's current salary information with a link to the resource's pay rate history
      • The resource's other pay rates, if applicable
      • The resource's performance history
      • The resource's equity grant history
    • The Analysis tab contains a consolidated analysis of the resource's compensation:
      • The current and new compa ratio
      • The current and new percent in range
      • The FTE
      • The full-time annual hours
      • The pay rate type
      • The annual salary and currency, if the pay rate type is not annual
      • The position
    • The Additional tab contains this information:
      • The budgeted percent for each rule
      • The annualized budget amount, if the pay rate type is not annual
      • The calculated lump sum percent, which is the calculated lump sum amount divided by the annual rate of pay
      • The adjusted lump sum percent, if the manager cannot adjust the lump sum percent
      Note: If the budget amount was prorated, then a yellow alert is displayed on the budgeted percent. Place the cursor on the yellow alert to view the budget percent before proration.
    • The Proration Information tab contains proration information for each prorated resource. Information includes the proration factor, the proration date and the proration reason. If the Adjust Awards By Proration Factor option was selected for the compensation awarding view, then the manager's awarded amount and the percent before proration are displayed.
    • The Base Currency tab is displayed only for a resource whose salary or bonus is in a currency other that the company base currency. It contains the resource's salary and bonus information in base currency.
    • The Reasons/Comments tab is displayed only if Allow Reasons And Comments was selected for the compensation awarding view and an award reason has been specified for a resource. To add an award reason with or without comment, highlight the resource and select Actions > Provide Award Reason.
  3. Use the columns next to each resource's name to specify awards. Specify this information:
    Note: The awarding columns correspond to each type of award in the compensation awarding view, which are salary with or without lump sums, bonus, and equity. Columns are displayed for the defined award types. For example, if an awarding view does not contain equity awards, equity awards columns are not displayed. More or fewer columns are displayed, depending on the columns that are selected on the Compensation Awarding View.
    Status
    The awarding status is displayed. Draft indicates that no awarding has taken place, Updated indicates that the manager has completed some awarding. Approved indicates that the awarding is complete.
    Rating
    The performance rating may be the default from the performance appraisal. It can be determined by budget calculations or can be loaded through Infor Spreadsheet Designer. It can be updated.
    Note: If the performance rating is based on a rating score, then the performance rating must be calculated by the rating score.
    Score
    If the performance rating is associated with rating scores, then the rating score is displayed in this field. It can be the default from a rating appraisal or it can be loaded using Infor Spreadsheet Designer. A change to the rating score may change the performance rating, if score ranges are specified on the rating scale.
    Currency
    The resource's work assignment currency.
    Pay Rate, Current
    The resource's current pay rate is displayed.
    New Pay, New
    The new pay rate after salary awards is displayed. This rate is updated after an award is made.
    (Salary-Type Rule) Budgeted
    The budget amount for the first rule is displayed.
    Note: If the budget amount was prorated, then a blue alert is displayed. Place the cursor over the blue alert to view the proration information.
    (Salary-Type Rule) %
    Specify the percent increase amount for the first rule. If you are awarding by amounts, then leave this field blank.
    (Salary-Type Rule) Amount
    Specify the amount increase amount for the first rule. If you are awarding by percentages, then leave this field blank.
    Note: If you specify an amount to be adjusted for proration by the system, then you are prompted to confirm the amount. A blue alert is displayed after the amount is adjusted. Place the cursor over the blue alert to view the proration information.
    Lump Sum, Amount
    If applicable, the calculated lump sum is displayed. Depending on the way the rules were defined, managers can adjust this amount.
    Lump Sum, %
    This column is displayed only if managers can specify a lump sum percent and lump sum payments are applicable. If the lump sum amount is changed, then the adjusted lump sum percent is displayed on the Additional Awarding Information tab.

    If the manager or compensation analyst specifies a lump sum percent, then the lump sum amount is recalculated.

    (Bonus Rule) Budgeted
    The budget amount for the bonus award is displayed.
    (Bonus Rule) % Multiplier
    If you specified an individual multiplier, then the bonus budget amount is multiplied by this field to determine the bonus amount.
    (Bonus Rule) Amount
    Specify the bonus amount. If you are awarding by percentages, then leave this field blank.
    (Equity Rule) Budgeted Amount/Units
    For an equity award, the budgeted amount or units.
    Note: If the budgeted amount was prorated, then a blue alert appears. Place the cursor over the blue alert to view the proration information.
    (Equity Rule) Awarded Amount/Units
    For an equity award, the awarded amount or units.
  4. Click Save.
    If the awards do not fall within the rules you created when you defined your salary rules, then an error message is displayed.
  5. When you have completed awarding, select one of the approval actions.
    Select Manual Approval to automatically approve the awards. Manual approvals automatically create pending pay rate increase records, pending lump sum payout records, pending bonus award records, and pending equity grant records.

    Select Submit for Approval to route the awards through the approvals that are defined in the approval process flow. Approvals are sent up the chain of reporting.

    When the final approval is made, these items are created:

    • The pending pay rate increase records
    • The pending lump sum payout records
    • The pending bonus awards
    • The pending equity awards

    Finalized awards are displayed on the Historical tab.
