Configuring email for external entities

External entity administrators can configure email that is sent by the system. Configurable elements include the logo, from email address, and email subject.

The From field that is specified here is used in all emails that are sent from the external entity to external candidates.

The logo that is specified here is shown in these email types:

  • Reset password from recruiter
  • Forgot password, initiated by the candidate
  • Self-registration verification code
  • Account locked after unsuccessful attempts

Requirements for the image file:

  • file type: png, jpg, jpeg
  • maximum file size: 2MB

The subjects that populate the Subject field of each email type can be configured. First, you create a custom email template for each email type.

Then you specify the template for each email type. For example, create an email template for the Account locked email type. Then in the Accounts Locked Email Template field, select the template.

  1. As an external entity administrator, click the profile icon and select External Entity Management.
  2. In the candidate external entity panel, select the pencil icon, then click Settings.
  3. In the Email Page Logo area, click Change Logo.
  4. Specify the image file that is used as the logo.
  5. Specify this information:
    From Email Address
    Specify the address of the email account that is shown in the From field of all emails that are sent from the external entity to external candidates.
    Registration Email Template
    Specify the template that is used for registration emails.
    Confirmation Email Template
    Specify the template that is used for confirmation emails.
    Self-Registration Verification Email Template
    Specify the template that is used for emails that are sent when an external candidate's self-registration is verified.
    Account Locked Email Template
    Specify the template that is used for emails that are sent to candidates who are locked out of the system.
