Defining organization learning rules

Organization learning rules let you define session class defaults, session registration approval settings, session waiting list defaults, the verification status of activity outcomes, and personal development hours balances maximum and alert threshold. You can change the settings at any time. You can override session class and waiting lists defaults at the session level.

  1. Select Learning and Development > Set Up > Configuration > Organization Configuration.
  2. Open the organization to view or maintain its learning rules.
    Note: All organizations to which have access are automatically displayed in this list. Organizations are defined in Administrator > Set Up.
  3. On the Organization Configuration page, specify this information:
    Effective Date

    Specify the date on which the rules take effect.

    Exclude Unavailable Activities, Development Plans, and Certifications from Employee Catalog
    Select this option if you want unavailable activities, development plans, and certifications not to be displayed in the employee catalog.
    Activity Section
    Select these options to enable content that is shown in employees' Activity Section page. This page can be configured to show activities, development plans, and certifications for which the employee is eligible to participate.
    Ratings
    Select this option to enable ratings for activities, development plans, and certifications.
    Learning Manager

    Specify the learning manager email address. If the field is blank, then you are prompted for a contact every time you define an activity.

    Hours

    You can specify the default number of hours for a session class.

    You can change this value on individual session classes.

    Primary Slot Start, End

    You can specify a default start and end time for a class period. This can be for the entire day. For example, 09:00:00 AM to 04:00:00 PM. Or you can set it for only the first period, if you track attendance for two periods. For example, 09:00:00 AM to 12:00:00 PM.

    You can change these values on individual session classes.

    Secondary Slot Start, End

    If you track attendance for two periods per class. For example, morning and afternoon. You can specify a default start and end time for period 2.

    You can change these values on individual session classes.

    Require Approval For Resource Initiated Session Registration

    To have managers approve registrations requested by resources, select this option. If you leave this check box blank, then registrations are approved automatically.

    Red Alert For Registration Requests After nn Days

    If you selected the preceding option, then specify the number of days after which a red alert is shown if a requested registration has not been approved or rejected.

    Wait List Option

    Select the default wait-listing option for the organization. By default, this option is enabled for all sessions. The learning manager can change the option on individual sessions.

    No Waitlists: No waitlists are allowed for the organization.

    Automatic Waitlists: The waitlist is controlled by the system. You must also select an option in the Automatic Processing Order field.

    Manual Lists: The learning manager controls the waitlist manually.

    Automatic Processing Order

    If you select the Automatic Waitlists, you must also select the automatic processing order:

    • Select Earliest Registration Date to fill openings in the order that the wait-listed resources registered.

    • Select Required Then Earliest Registration Date to fill openings first with resources who are required to take the activity, in the order that they registered, and then with other wait-listed resources in the order that they registered.

    Require Activity Approval for Development Plan
    Select this option if activity approvals are required for development plans.
    Require Activity Approval for Certification
    Select this option if activity approvals are required for certifications.
    Skip Finalize Action
    Select this option to skip the manual complete the action. Activity status is automatically changed to "Finalized" upon completion.
    Create Competencies And Skills As Validated

    If you select this options, then any skills or competencies defined as the expected outcome of completing an activity session are added to a resource's profile as validated when the resource completes the session. The default is to add the skills or competencies as not validated.

    Note: Credentials are always added as verified.
    Maximum Balance
    Specify the maximum balance for Personal Development Hours
    Maximum Balance Threshold Alert
    Specify when the maximum balance threshold alert notification is generated.
    Minutes
    This setting is used to determine the duration of QR codes that are used for attendance management. Specify the number of minutes the QR code is functional. When the specified time passes, the QR code expires. The QR code is then refreshed, and attendees can use the new code to register their attendance until that code expires.
  4. Click Save.
