Mass assigning resources to checklists by type

You can mass assign multiple resources to multiple checklists, based on checklist types.

  1. Select Learning and Development > Checklists > Assignment.
  2. On the Checklists tab, select Actions > Mass Assign Checklists By Type.
  3. Specify this information:
    All Checklist Types

    Select this check box to mass assign all checklist types (and therefore all checklists) to eligible resources.

    Do not select a checklist type if you select this check box. You must select one or the other.

    Checklist Type(s)

    To assign only checklists of a specific type or types, select up to six checklist types. The action assigns eligible resources to all of the checklists with the selected types. Eligible resources are determined by the eligibility group that you specify or that defaults from the checklists.

    If you do not select checklist types, you must select the All Checklist Types check box.

    Eligibility Group

    The eligibility group determines which resources are assigned to the checklists.

    Select an eligibility group in this field to assign the checklists to all of the resources eligible for this eligibility group. If you specify an eligibility group in this field, it overrides any eligibility groups defined on the checklists.

    If an eligibility group is defined on the selected checklists and you leave this field blank, the checklists are assigned to the employees eligible for the checklist eligibility group. Each checklist is assigned according to its own eligibility group.

    Note: If you leave this field blank and one of the checklists does not have an eligibility group, no resource checklists are created for that checklist.
    Status

    If you leave this field blank, the Checklist Type assignment rule for this field is used.

    Note: If you leave this field blank and this value does not exist for a checklist type, no resource checklists are created for checklists of that checklist type.

    Select Active if you want the created resource checklists to be in Active status.

    Select Draft if you want only learning managers to view the resource checklists.

    Status

    If you leave this field blank, the Checklist Type Assignment Rule for this field is used.

    Select Active if you want the created resource checklists to be in Active status.

    Select Draft if you want only learning managers to view the resource checklists.

    Note: If you leave this field blank and this value does not exist for a checklist type, no resource checklists are created for checklists of that checklist type.
    Due Date

    You can let the due date default from the checklist or assign a new due date. The date must be in the future.

    Note: If you let the due date default from the checklists and the action cannot determine a due date for a specific resource checklist, the resource checklist is created in Draft status with a red alert.
  4. Click OK to process the action immediately, or click Schedule to schedule the action to run at a later time.

    After the action is processed, the created resource checklists display in the Resources panel.

    If the checklist is in Draft mode, you can waive or update the checklist components. Select Actions > Update to change the components.
