Defining or updating classes for sessions

When you define and save a session, the system creates two classes one for the first day of class, and one for the last day of class (assuming the first and last day are different). You can add the class times for these classes. You can also define classes for each day of the session.

If you want the system to create attendance records for the session, you must define each class day. If your organization tracks attendance for two periods per day, you must define the beginning and end times of each period.

  1. Select Learning and Development > Catalog > Activities And Sessions.
  2. Locate and select the activity for which to update a session.
  3. On the Active Sessions tab, open the session for which to define classes.
  4. Select the Classes tab.

    When you define a session the first and last class are automatically created. If you specified default hours and times for the organization on Set Up > Configuration > Organization Configuration, these values default on the classes.

    You can add new classes for the classes that are not automatically created. You can copy an existing class to one or more other days.

  5. To add a new class, click Create, and specify this information:
    Class

    Select the class date. The system displays the day of the week.

    Hours

    Specify the total number of hours for the day.

    Time Period 1

    Specify the start and date for the first period. This is the only period that you are required to fill unless you are required to track attendance for two periods.

    The total number of hours does not have to match the start and end time. For example, you can have a class that lasts 6 hours, starting at 9 am and ending at 4 pm, with one hour for lunch break.

    This information will be printed on notices to participants and on attendance records.

    Time Period 2

    If you are required to track attendance for two periods, specify the start and end date for the second period.

  6. Click Submit.
  7. To delete a class, highlight the class on the class list, and click Delete.
