Adding or rescheduling attendance dates

An attendance date corresponds to a class date defined for the session. You cannot change the date of an attendance record after you have created it. If you must reschedule a class to a new date or add a new class, you can copy an existing attendance date to a new attendance date. When you copy an attendance date, the new attendance date is created with the same participants as the original attendance date.

If you are rescheduling an attendance date, you can delete the original attendance date, you can keep the record and zero out the class hours and hours attended.

Note: The original session classes and the session roster do not get updated with changes you make to the attendance records. The session roster remains based on the classes that are defined and the participants that are confirmed or wait-listed at the time that you create the roster.

Alternatively, make the changes on the class records and use the Create Attendance Records action to create the attendance records for the new class. You still must delete a cancelled class manually.

  1. Select Learning and Development > Registration And Completion > Manage Attendance.
  2. On the Record Attendance tab, select the session, and select Attendance By Date.
  3. Select the date to copy and click Actions > copy Attendance Records.
  4. On Copy Attendance Records, select the date of the new attendance record, specify the number of hours, specify comments, and click OK.

    A new attendance record is created for the new date, with the same participants and the hours you specified.

  5. Optionally, if the new attendance date replaces an existing attendance date, and you want to keep a record, you can zero out the class hours for the original class and the hours attended.
    Note: To zero out an attendance date, you must first zero out the attendance date hours, then zero out the participants hours attended. To update the participants hours attended for all participants at once, you can click Actions > Update All Attendance in the Attendance Dates section, update the hours, and click OK. You can also update the hours attended directly on the participant list in the Attendance Records region.

    Alternatively, you can delete that class date.

    Note: To delete a date, first delete the participants, then delete the date.
  6. To make global changes to all attendance records for an attendance date, select the attendance date, and select Actions > Update All Attendance.
