Updating frequency tables

Use this procedure to update employee deductions when a frequency table that is assigned to a benefit plan or flex plan changes. You can also use this procedure if you assign a different frequency table to a benefit plan.

Note: 

Update employee deductions and standard time records before you run the next payroll cycle. If changes have occurred, you will be prompted to update employee benefits.

The Missing Cycles Remaining tab contains a list of payment schedules that are missing cycles remaining values. This can be corrected from the payment schedule on the Missing Cycles Remaining tab, or in Benefits > Set Up > Payment Schedules.

The Payroll Deductions and Standard Time Records tabs contain temporary lists that are generated from the Create Report action that show the results of what will be or has been updated.

  • Payroll Deductions show standard benefit deductions such as Pre Tax, After Tax, and Employer. Only deductions that are affected by the frequency table divisors are considered. No Percent type dedications are considered, only Amount.

  • Standard Time Records are for employees with unused flex credits that are paid to them over a number of pay periods (divisor).

  1. Select Benefits > Maintenance > Processes > Frequency Table Update.
  2. Click Create Report.
  3. Specify this information:
    As Of Date

    Specify a date that will be used to determine which benefits to update. Only enrollments in effect on this date will be updated. If a benefit has a stop date equal to or earlier than this date, it will not be updated.

    Update Immediately

    Select whether to update immediately. Leave check box cleared to validate and update later.

    Flex

    To update a flex plan, select a flex plan.

    Or Benefit

    Select a benefit plan for which to update employee deductions. If you leave all the benefit type fields blank, the report includes all plans of the benefit types that you selected in the Benefit Type fields.

    Or Benefit Types

    Select benefit types to update. If you do not select a flex plan, you must select at least one benefit type. If you selected a flex plan, do not select a benefit.

  4. Click OK to process this action immediately.

    or

    Click Schedule to schedule the action to run later.
