Adjusting allotments

You can recalculate allotments that are given previously to resources.

Note: Before the Payment Schedule Group field is displayed, you must select By Payment Schedule in the Process Monitor Mode field.

See Configuring Absence Management for an organization.

  4. In the Plans header, specify this information:
    Plan Type
Select the plan type to process.
    Eligibility Group
Select the eligibility group to process.

If you select a eligibility group, then you must select a plan type.

  5. In the Options header, specify this information:
    Processing Option
Select the type of processing option of the allotment adjustment:
    • All Adjustments
    • Adjust For Factor Changes: adjust previous allotments for resource factor changes during the allotment period.

Resource factors are defined in Calculations. A calculation based on a factor is used in the allotment table.

For example, an allotment that is given on January 1 is based on an FTE of .50. The resource's FTE changes on July 1 to 1.0. To create an adjusting entry for the allotment period from July 1 to the end of the allotment period, you can run Adjust Allotments. The adjustment is based on the new FTE.

    • Adjust for Relation To Accrual: adjust previous allotments based on accrual amounts that are received during the allotment period.

You must select Adjust allotment by accrual in the Relationship to Accrual field on accrual rule. The allotment amount is compared to the accrual amount for the same cycle. An adjusting allotment entry is created for each cycle in which the allotment amount differs from the accrual amount.

For example, an allotment that is given on January 1 is based on projected annual hours. During the allotment period, accruals are calculated based on hours worked. To create an adjusting entry to increase or decrease the allotment amount, you can run the Adjust Allotments action. The adjustment is based on the difference between the allotment and the accrual amount for each cycle within the allotment period.

    Adjustment Option
Specify the type of adjustment transactions to create:
    • Adjust for Increases and Decreases
    • Adjust for Increases to Allotments
    • Adjust for Decreases to Allotments

You can adjust for increases and decreases in the Report Only mode by selecting Adjust for Increases to Allotments and Adjust for Decreases to Allotments to report transactions that are created. To adjust for both increases and decreases, clear the Update check box to view all cycles and see the adjustments that are created.

    Allotment Dates
Specify a date range to recalculate the allotments.

If allotment dates are not specified, then all allotments are recalculated.

    Process Through Date
Specify the effective date to process resource plan records that are selected for processing.

The version of the dated plan record that is used to find the applicable rules and the version of the dated tables that are selected are defined in this field.

Note: You must specify the process through date between Plan Entry and Plan End date of the resource's absence plan record.
    Exclude Terminated Resources
Select this check box to exclude terminated resources from this action.
    Rerun
Select this check box to rerun the job or delete and recreate new records.

If you select the Rerun check box, then open transactions in a processed status that are not closed by Resource Plans are deleted and new transactions are created.
