Configuring Absence Management for an organization

Before you can use the features of Absence Management, you must configure the features available for an organization.

  1. Select Absence Management > Set Up > Organization Configuration.
  2. Select an organization to configure.
  3. Click Create.
  4. On the Details tab, specify this information:
    Indicate Invalid Week Days On The Employee Calendar
    Select this check box to show invalid days of the week in gray on the employee calendar.

    Valid days of the week that are defined on the employee's primary work assignment are required work schedule.

    Allow Time Off Request Approval Within Process Plans Cycle
    Select this check box to proceed time off request approvals after you complete running the Process Plans action and before you complete running the Close Plans action.

    If you select this check box, then the approvals of time off request can proceed without selecting the Process Monitor Plan Processing status to Error.

    Ignore Payout Transactions During Plan Processing Rerun
    Select this check box to retain payout transactions and time records of users.

    This check box is applicable when re-running the Process Plans action to calculate absence accruals. Users can use the payout output for other plans.

    If this check box is cleared, then payout transactions and time records are deleted when you rerun the Process Plans action.

    When you run the Process Plans action, you can select this check box to persist the Absence Transactions payout type when using the rerun option. This check box is useful when a payout time record from one plan is included in the service class of another plan payout.

    Note: Unless there is a specific requirement for this scenario, do not select this check box.
    Allow Resources To Resubmit And Delete Rejected Time Off Requests
    Select this check box for users to handle time off requests that are previously rejected.

    For example, an employee incorrectly specified a plan, or a manager incorrectly rejected a request.

    Exclude Resources Without Absence Plans Or Leaves Of Absence From The Manager Absence Chart
    Select this check box to exclude subcontractors from the chart. Subcontractors and other similar employees are not tied to an absence plan and cannot request time off. The chart may become unnecessarily long if these are not excluded. Select Manager > Manage Absences > Absence Chart.
    Enable Future Projected Balances Feature
    Select this check box for employees, managers, and administrators to see the projected employee time that must earn in the future. You can use the projected employee time when requesting time off on specific dates. Employees, managers, and time administrators can also use this feature when creating time records. This feature only impacts absence plans with Warning or Error that are selected in the Negative Balance Option field of the balance rule. This feature is only for absence plans that do not use a service class in their calculations.
    Use Last Service Record Hours And Last Service Record Earnings As Basis For Retroactive Accruals
    Select this check box to revert the behavior of retroactive accruals to use the Last Service Record Hours and Last Service Record Earnings in determining retroactive Service Records.

    If you select this check box, then you must create a service record after running the last Process Plans action to process for retroactive accruals.

    Percent Of Available Limit progress bar
    Specify the minimum and maximum ranges. Progress bar percentages are based on the resource's balance in the absence plan and the current ongoing balance limit. The current ongoing balance is updated each time the Process Plans action are run and closed.

    For each row, the minimum cannot be greater than the maximum, and values in one row cannot overlap with values in another row.

  5. Click Save.
  6. Click the Balance Notification Email Templates tab.
  7. Click New.
  8. Specify this information:
    Effective Date
    Specify the date that the template takes effect.
    Balance Notification Template and Description
    Specify a template name and description. Make the name meaningful so that the purpose of the template is recognized when you are selecting it. For example, APPROACHING LOW.
  9. Complete the form.
  10. Click Save.
