Mass enrollment

Use this procedure to enroll existing resources into newly created plans.

Specify a plan entry date to enroll resources. For example, the first of the month or the beginning of a pay period. Use this action to create or update absence plan records for plans that are not defined to use the Automatic Enrollment. You can also use this action to enroll into new plans.

Resources who are in the plan but have ended absence plan records are reactivated if they are still a member of the eligibility group. The Override Plan Dates and Accrual End Date must not be selected on the Resource Plan record.

  1. Select Absence Management > Enrollment > Mass Create.
  2. Specify this information:
    Plan Type
    Specify a plan type in which to enroll resources.
    Eligibility Groups
    Select eligibility groups to enroll or leave these fields blank to run for all eligibility groups.
    Plan Entry Date
    Specify a specific date to enroll resources. For example, the first of the month or the beginning of a pay period. Eligible resources that are not already in the plan are added using the plan entry date you specify.
    Note: If the structure begin date is later than this date, the structure begin date is used instead.
    Update
    Specify whether to create a list of enrollments or to create the selected enrollments.
    • List Enrollments To Create: creates a list resource plans that will be created.
    • Create Enrollments: Creates enrollments based on selected criteria. It is important to use the same selection criteria to create enrollments as you did when you generated the list of enrollments.

  3. Click OK to process the action immediately or click the Schedule button to schedule the action to run later.

    Each eligibility group is evaluated to determine which ones are current.

    Note: If a resource is reactivated in a plan, then the Transfer option on the Resource Plan is reset to Open. A resource is reactivated when the Accrual End or Plan End dates are cleared. Resetting to Open facilitates normal event processing in the future.
  4. For a list of Resource Plans that are created by this process, select Start > Create Report.

    You can create a report using the business class EmployeeAbsencePlan. You can create a list of EmployeeAbsencePlanPrimary. Filter on Plan Entry date to get a list of records for the Plan Entry Date parameter that was used on the set action.

  5. When Mass Create has finished processing, use these instructions to view and take action on the results.
    • Select Enrollment > Pending Enrollments and select the Errors tab to view and fix processing errors.

    • Select Enrollment > Pending Enrollments and select the Pending tab to view unprocessed enrollments.
    • Select Enrollment > Manual > By Organization to view a list of enrollments.

      Use the same parameters to filter on Plan Type and Plan Entry Date that were used to run Mass Create Enrollments.
