Enrollment recalculation

You can use the Recalculate Enrollments action to evaluate existing eligibility group criteria and perform these actions:

  • End accruals on resources that are no longer eligible for an absence plan.
  • Restart enrollment on resources that are re-eligible for an absence plan.
  • Enroll resources that now qualify for an absence plan.

Run the Recalculate Enrollments action any time there are changes that affect eligibility groups. For example, resource terminations or status changes.

Note:  It is recommended to run Recalculate Enrollments daily, after all changes are completed. If this action is scheduled to run automatically and is not manually reviewed, it is also recommended to purge all processed records daily with the Purge All From List action.

When a resource is no longer eligible for a plan, use Recalculate Enrollments to update the resource’s accrual and date on resource plan records. Accruals, allotments, eligibility transfers, and carryover no longer occur. Recalculate Enrollment does not stop the plan record completely. That is, no plan end date is set by Recalculate Enrollment. Any remaining plan usage or plan payouts and adjustments are processed. After all processing is complete, run Mass Terminate using processing option Plan End to end the resource plan record. Resource Plan records with an accrual end date that is through the date specified are located when the Mass Terminate action is run. The plan is ended on the plan end date that is specified.

Note: The Recalculate Enrollments process does not add or reactivate a resource plan record if the Plan Type Automatic Enrollment option is not selected. The process always ends a resource plan record, regardless of how the automatic enrollment option is set.
Example:

Earl Randolph was hired as a full time resource on 2/1/2012. The organization to which he was hired has two PTO plans: one for full time resources and one for part time resources. When he was hired, Earl was automatically enrolled in the organization's PTO plan for full time resources. The Plan Entry date was 2/1/2012. On 3/1/2013, Earl transferred to a new, part time position. When the Recalculate Enrollments action is run at the end of the day on 3/1/2013, two Enrollment update records are created. One update adds an Accrual End Date of 2/2/2013 to Earl's record for the full time PTO plan. The second update creates a new Resource Plan record for Earl for the organization's part time PTO plan. The Plan Entry date for that plan is 3/1/2013.

These actions cannot be in process when the recalculate action is submitted:

  • Process Plans
  • Payout Plans
  • Update Zero Balance
  • Adjust Allotments
  • Close Plans
