Receiving items from purchase orders

  1. Select Inbound Transactions > PO Receipt The Purchase Receipt transaction form is displayed.
    Note: To access this form, you can also select Icon Menu > Get It > Purchase Receipt.
  2. Specify this information:
    Receipt Type
    The type of receipt. Possible values:
    • PO
    • GRN
    Whse
    The warehouse in which the item is received. By default, the warehouse linked to your user name is displayed.
    PO #
    The purchase order number. This field is displayed only if the Receipt Type field is set to PO.
    Line
    The order line number for which the items are received. This field is displayed only if the Receipt Type field is set to PO and the Receive by Line parameter is selected for this transaction in the Transaction Set Maintenance form.
    Note: If the validation for line number fails, the ‘XX is not a valid line’ message is displayed.
    Release
    The release number of the purchase order line. This field is displayed only for Blanket purchase order and can be modified only when the purchase order line number is specified in the Line field.
    Note: To implement this functionality, you must enable this feature (RS8332) on the Feature Management form.
    Item
    The code of the item received in the warehouse. This field is displayed only if the Receipt Type field is set to PO and the Receive by Line parameter is cleared for this transaction on the Transaction Set Maintenance form.
    Note: For Blanket purchase orders, the item number is defaulted based on the values specified on the Line and Release fields.
    Vendor
    The ID of the vendor.

    This field is displayed when the Receipt Type field is set to GRN.. When the Receipt Type field is set to PO, this field is displayed only if the Search Open PO by Vendor parameter is enabled on the Transaction Set Maintenance form.

    GRN #
    The GRN number. This field is only displayed if the Receipt Type field is set to GRN.
    GRN Line #
    The GRN line number you receive. This field is displayed only if the Receipt Type field is set to GRN and the Receive by Line parameter is selected for this transaction on the Transaction Set Maintenance form.
    Document Number
    The document number of the purchase order receipt.
  3. Click Next. If there are multiple items or PO lines or GRN number and you did not specify an item or line, a list of items or lines is displayed. Select the item or line to receive. The purchase order or GRN number, item information, warehouse, and required quantity are displayed.
  4. Specify this information:
    Loc
    The location to put away the items. If the Combine Putaway parameter is cleared for this transaction.
    Lot
    The lot number.
    Note: If the ‘Lot/Serial Transaction restriction codes or Mfg date in use global paramter is enabled, for new / generated lots, a popup window ‘Lot Manufactured Date and Transaction Restriction Code’ opens to all1ow the user to provide the manufactured date, expiration date and transaction restriction code for the lot.
    Received
    The item quantity to be received.
    To Cont
    Indicate if the items have to be placed in a container.
    Container
    The container number. This field is displayed only if the To Container field is set to Yes.
  5. Click Next.
    Note: This option is displayed only if the item is serial-controlled.
  6. Specify this information:
    Generate Serials
    Indicate how the serial numbers are generated. Possible values:
    • Yes: The serial number is generated automatically.
    • No : You m ust specify the serial number manually.
    Serial
    The serial number of an item.
    Note: If the ‘Lot/Serial Transaction restriction codes or Mfg date in use’ global parameter is enabled, you must specify the Manufactured date, expiration date and transaction restriction code for the serial. The Scanned field displays the count of the serial numbers you have scanned. You can also click Show List to view the available serial numbers, or click Clear List to clear all the scanned serial numbers.
  7. Click Process to issue items to the cross-reference job, after scanning the required quantity of serial numbers. The voucher number is generated for the receipt and the successful message is displayed.
    Note: 
    • The application prints the labels if the transaction is configured to print labels automatically. Else, the Label Printing screen is displayed wherein you can specify the required details.
    • If the Allow Cross-Docking parameter is selected for this transaction, the order is not cross-referenced to another order, and you must confirm if the receipt must be cross docked.
    • The voucher is generated, with successful transaction posting, based on the vendor configuration, that is, the Auto Voucher parameter is enabled, and Auto Voucher method is either prompt or automatic. Irrespective of the Auto Voucher method selected for the vendor (prompt / automatic in CSI), the option is always set as Automatic in Infor Factory Track.
  8. Click Yes when the prompt is displayed to confirm the allocation of received items to the cross-reference order. The corresponding cross-referenced information is displayed. Possible scenarios:
    • For a cross-referenced job, the Job Material Issue transaction is displayed.
      Note: The Cross reference for Job Order parameter must be selected.
    • For a cross-referenced SRO, the SRO Material transaction is displayed.
    • For a cross-referenced project, the Project Material Issue transaction is displayed.
    Note: To implement the cross-referenced functionality for SRO and Project, you must enable this feature (RS9025) on the Feature Management form.
