Configuring Reduction Sets
- Select TimeTrack Forms > Reduction Sets. The Reduction Sets form is displayed.
- Click New. A new line is added to the grid.
-
Specify this information:
- Reduction Set
- The code for the reduction set.
- Description
- The description of the reduction set.
- Allow Flexible Lunch Period
- Set this value to Yes for an unpaid clocked reduction. If no clock out occurs, an automatic reduction occurs during the scheduled time. However, if a Lunch Out occurs, regardless of the time of the day, the automatic reduction is cancelled.
-
Specify this information for each break period:
- Type
- The reduction set type.
- Functions
- The reduction function type. Possible
options are:
- Clock
- Lunch
- Break
- Paid
- This check box determines whether an employee is to be paid for the break. A paid reduction does not reduce attendance hours. Unpaid reductions reduce attendance hours.
- Start Time
- The time when the reduction activity is scheduled to start.
- End Time
- The time when the reduction activity is
scheduled to end.Note: Jobs that occur during an unpaid break have the duration of the reduction deducted from the overall duration of the job. For clockable reductions, the start time and the end time set the point of reference for clock-in rules associated with the reduction.
- Elapsed Time
- The elapsed time of the reduction is calculated from the specified Start Time and End Time.
- Task Code
- The reduction time deducted from labor
records will be redirected to the specified task code. Note: If a value is not specified the reduction time is deducted from the labor record, but it is not redirected anywhere. The redirected reduction time appears as a Break record on the Employee’s timesheet after hours are processed.
- Clockable
-
This check box specifies if an attendance transaction is used to start and end the reduction. When a reduction is set to Clockable, the start and stop options for the reduction type are displayed on Attendance Transaction form.
- If the Paid check box is selected, and the employee does not Clock Out for a break, the reduction is not performed. Grace periods, Tolerances and Adjustment rules defined on the Employee Types – Punch Parameter tab are applied to the Start Time and End Time of reduction attendance transaction when the reduction is set to Clockable.
- If the Paid check box is cleared, and the employee does not Clock Out for a break, the reduction of time is performed at the scheduled time. Grace periods, Tolerances and Adjustment rules defined on the Employee Types – Punch Parameter tab are applied to the Start Time and the End Time of the reduction attendance transaction when they occur. When the Allow Flexible Lunch field is set to Yes, the automatic reduction for unpaid clockable reductions are suspended when a reduction transaction is specified.
- Confirm Break
- This check box allows to display a message when the employee attempts to clock out without entering a clockable reduction.
- Exclude Absences
- This check box allows to deduct the duration of the reduction from absence hours that occur during the specified time of reduction.
- Active on Partial Day
- This check box allows to deduct or
redirect reductions during clocked time on a partially worked day
where all scheduled time is accounted for with clocked time and
absence hours. If no absence hours are specified on a partially
worked day, the reduction that occurs during the clocking time is
applied.Note:
- Exclude Absences defines the reductions methods during the absence hours on partially worked days.
- Active On Partial Day defines the reductions methods during clocked hours on partially worked days.
