Configuring Elapsed Employee Types

Elapsed time employees enter their labor hours retrospectively. They enter the elapsed duration of time they spent on an activity rather than entering a start and end time. The default configuration for Elapsed Data Capture does not require the collection of attendance hours, uses the shift configuration for hours categorization and processes hours on a Weekly basis.

To configure an Employee Type for elapsed time data capture, set the Elapsed Time Data Capture check box on the Employee Types form, General tab to Yes. Upon selecting the check box the Elapsed Time Configuration portion of the form will display.

  1. Select Time Track > Time Track Forms > Employee Types. The Employee Types form is displayed.
  2. Select the Elapsed Time Data Capture check box.
  3. Specify this information in the Elapse Time Configuration section:
    Process Method
    The processing method for the elapsed employee type. Possible values:
    • Weekly: Processes all report dates in a work week at once.
    • Daily: Processes one report date at a time.
    Note: By default, this value is set to Weekly.
    Manual Hours Categorization
    Select this check box to allow employees to manually categorize entered hours. The available categories are R (Regular), O (Overtime), and D (Double Time).
    Note: By default, this check box is cleared, and hour categorization is determined based on the employee's shift rules.
    Allow Alternate Hours Types
    Select this check box to allow the A (Alternate) hours type in addition to R (Regular), O (Overtime), and D (Double Time) when entering hours.
    Note: 
    • This field is displayed only if the Manual Hours Categorization check box is selected.
    • By default, this check box is cleared.
    • Hours reported with the A hours type are categorized as regular hours but are not included in overtime threshold calculations.
    Submit And Sign Off Separately
    Select this check box to require employees to sign their hours and submit the timesheet as separate actions.
    Note: By default, this check box is cleared. This allows employees to sign and submit the timesheet in a single step.
    Collect Attendance Hours
    Select this check box to require employees to enter attendance transactions in addition to labor hours.
    Note: By default, this check box is cleared. This allows employees to specify only labor hours.
    Require Attendance Hours Match Labor Hours To Process
    Select this check box to require attendance hours and labor hours to match.
    Note: 
    • This field is displayed only if the Collect Attendance Hours check box is selected.
    • By default, this check box is cleared. This allows attendance hours and labor hours to differ.
    Allowed Variance
    The allowed variance percentage between labor hours and attendance hours.
    Note: 
    • This field is displayed only if the Require Attendance Hours Match Labor Hours To Process check box is selected.
    • A value of 0% requires labor hours and attendance hours to match exactly before the timesheet can be processed. When the allowed variance is greater than 0%, differences within the specified percentage are adjusted automatically to match. If the variance exceeds the specified percentage, the timesheet is placed in exception status and cannot be processed until the labor hours or attendance hours are adjusted.

    In this configuration, absence hours are included in both attendance hours and labor hours calculations.

    Submit 40 Work Week To Payroll
    Select this check box to submit the number of hours defined as a complete week in the shift configuration to Payroll, regardless of the hours entered on the timesheet.
    Note: By default, this check box is cleared, and only the specified labor hours and absence hours are submitted during timesheet processing.

    In the Elapsed Data Capture Notes field:

    • On the General Tab: The Default ABS Code and Attendance Points System settings do not apply to Elapsed Data Capture. All other parameters on the General tab function the same as they do for Hourly Data Capture.
    • On the Holiday Parameters Tab: All parameters function the same way for Elapsed Data Capture as they do for Hourly Employees.
    • On the Quantities tab: None of the parameters are used with Elapsed Data Capture.
    • On the Work Set tab: None of the parameters are used with Elapsed Data Capture.
    • On the Attendance Points and the Attendance Threshold tab: Attendance Points System is not applicable to Elapsed Data Capture.
  4. Click Save.
