Using Timesheet Form - Supervisor

Use the Timesheet form to review, manage, and process employee timesheets. Supervisors can view timesheet details, monitor status, specify or modify labor and attendance records, review absence information, and process hours for payroll. Supervisors can access the Timesheet form from the Supervisor Landing Page or the Supervisor Timesheet Overview form.

You can view these sections on the form:

Timesheet Header
The header information includes:
  • Employee Name and Number: Displays the name and number of the employee. Supervisors can specify the number of another employee to switch to the timesheet of that employee.
  • Timesheet Start and End Date: Displays the start and end dates of the timesheet. You can use the Previous and Next links to navigate to the previous or next timesheet.
  • Timesheet Status: Displays the lowest status assigned to any hours record within the timesheet. The status list is displayed in the lowest to the highest order. Possible values:
    • New
    • Error
    • Exception
    • Running
    • Open
    • Ready
    • Pending (Submitted)
    • Approved
    • Processed
    • Payroll Processed

You can also use these options in the Timesheet Header section:

  • Post to ERP: Enables you to post hours to ERP on the Elapsed Data Capture timesheets that is displayed.
  • Process: Enables you to process timesheet hours for payroll. When the timesheet status is Pending or Ready, payroll records are created and the timesheet status is updated to Processed. If the timesheet is not in Ready status, only report dates with a status of Pending or Ready are processed. In this case, the daily hours status is updated to Pending, while the overall timesheet status remains at the lowest status present in the timesheet. Processed timesheets can be reopened from the Supervisor Timesheet Overview form. After payroll processing is completed, the status of the timesheet is updated to Payroll Processed. Timesheets in Payroll Processed status cannot be reopened by a supervisor.
  • Close: Enables you to select X to close the form and return to the previous page.
Total Hours
Use this section to view the summary of hours specified in the timesheet. This section includes:
  • Total hours and categorized hour totals for the pay period.
  • Total hours for the shift-week when a pay period include multiple shift weeks.
You can use the Previous and Next options in the shift week header to navigate between shift weeks within the pay period.
Hours Type
This section provides a graphical summary of the recorded hours. This section displays a pie chart that categorizes hours based on:
  • Direct
  • Indirect
  • Absent
  • Gap
  • Break
Each category is color-coded and displays the percentage of the total recorded hours.
Shift Week Header
Use this section to view information for the selected shift week. This section includes:
  • Single-Week Pay Periods: Displays the same date range in both the Shift Week Header and the Timesheet Header.
  • Multiple Shift Weeks: Displays the start and end dates for the selected shift week and identifies its week number within the pay period. You can use the Previous and Next controls to navigate between shift weeks. You can also view the daily detail columns for the selected shift week.
Daily Column Headers
Use this section to view the report date, total hours recorded for the day, a link to access the time entry modal (+) and daily hours status indicator. You can select the + icon to access the Time Entry modal to the selected report date.
For Hourly Employees: In the Time Entry Modal select the transaction type to execute followed by the Order/Task information. To enter a running labor transaction enter the Start Transaction Date and Time then select Save. To enter a stopped labor transaction enter the Start Transaction Date and Time then End Transaction Date and Time. Select Save to enter the transaction.
Note: Hourly Employees must specify an Attendance transaction before Labor transactions are allowed.
For Elapsed Employees: In the Time Entry Modal select the transaction type to execute followed by the Order/Task information. Enter the amount of time to report for the activity. If the activity it to be repeated on multiple days in the shift week, select Reoccurrence then place a check on the report dates the activity should be repeated on. Select Save to enter the transaction/s.
Note: Elapsed Employees usually do not require Attendance transactions.
The daily hours status indicator is displayed only for hourly employees and daily elapsed employees.
Daily Details
Use this section to view attendance, labor, and absence activities for each report date. This section includes:
  • Attendance Transactions: Displays the data related to the Clock In/Clock Out and Lunch In/ Lunch Out of an employee
  • Labor Transactions: Displays the direct and indirect labor activities.
  • Absence Records: Displays the pending, approved and applied absences.
You can modify this information by double clicking a detail tile. When the Time Entry Modal form is accessed you can update the value in the field and can click the Save Entry option to save the modified fields.
Activity Summary Panel
Use this section to view a tile for each attendance, labor and absence record within the selected shift week. Activity Summary tiles provide additional detail not displayed in the daily detail tiles. Each tile includes this information:
  • Report date associated with the record
  • Order type
  • Posting status
  • Task codes, order numbers, and other applicable transaction details
  • Related comments and error messages
  • Signed-hours timestamp, when applicable
  • Duration and hour categorization
You can use these options in this section:
  • Edit Time: Enables you to access the Time Entry Modal for modifying the information.
  • Delete Time: Enables you to remove the selected record.
