Using the PTO Entry Modal to Enter Absence Requests

Use this form to create time off requests and review the related details. The form is used by employees to submit time off requests and is used by supervisors to create absence records on behalf of the employee. Additionally, supervisors use this form to approve, reject, modify and specify comments on time off requests.

This form can be accessed from one of these parent forms Employee Landing Page, the Supervisor Landing Page, the Timesheet Activity Summary Panel, the Supervisor Timesheet Overview, the Supervisor Time Off Overview or the Employee Time Off Overview.

  1. Access the PTO Entry Modal form from one of the parent forms.
  2. Specify this information:
    Employee Number
    The code of the employee.
    Note: This value is defaulted from the value specified in the parent form.
    Start Date
    The start date of the request.
    Note: 
    • This value is defaulted from the value specified in the parent form.
    • You can also request for multiple day absence from this form.
    End Date
    The end date of the request.
    Note: 
    • This value is defaulted from the value specified in the parent form.
    • You can also request for multiple day absence from this form.
    Absence Code
    The code for absence.
    Absence Type
    The type of absence. Possible values:
    • Full Day: The start time is defaulted from the absence shift start time. The end time and the duration is defaulted based on the Full Day Parameter setting.
    • Half Day:The shift start time is defaulted from the absence start time. The end time and the duration is defaulted based on the Full Day Parameter setting. The application defaults a value that is half of the value specified in the parameter setting.
    • Partial Day: The shift start time is defaulted from the absence start time. The system calculates the end time using the formula:
      Start Time + Duration
    Note: 
    • You must modify the start time for the half and partial day absence that do not start at the scheduled shift start time.
    • For Overnight shifts the adjusted start and end date is modified to ensure that the correct transaction date of the start or end of the absence record is referred.
  3. Click Submit. The planned absence is displayed in the Timesheet.
