Configuring Payroll Extracts
- SelectTime Track > Time Track Payroll > Payroll Schedules. The Payroll Schedules form is displayed.
- Specify this information in the Extract Format
section:
- Extract Structure
- The structures to determine the information that must be displayed in the
extract. Possible values:
- Single Line Per Employee: A line is generated for each employee number. Each line displays the values specified by Extract Configuration along with the clocked hours in the specified positions. In case, there are Alternate Hours,or Absence Hours in the pay period this is appended to the line along with the payroll code. Alternate hours are displayed in the line in alphabetical order.
- Clocked and Alternate Hours: A line for clocked hours is generated for each employee along with a line for each alternate hours code displayed in the pay period. The alternate hours lines use the same mapping that is used by the clocked hours line but use a place holder in the positions where clocked hours are designated to go.
- Breakdown by Hours Type: A line is generated for each hour type available for an employee in a pay period. This structure maps values from Extract Configuration section in the similar manner as the other two structures. However, for clocked and alternate hours the structure is mapped differently. Instead of mapping clocked hours to a fixed position and then appending alternate hours to the end of the line, the Hours Code fields is activated to allow designation of the position of both an hours value and the definition of an Hours Type code for clocked hours. Each line, are considered the same irrespective of the type of hour such as clocked or alternate hours.
- Hours Format
- The format in which the hours are displayed in the extract. For example, Hours/minutes is displayed in an HH.MM format, An hour and 20 minutes is displayed as 0120. Hours and Fraction of hours is displayed in h.hh format.
- Fixed Length
- Select this check box to activate the Length and Justification fields in the Extract Configuration section. This enables users to specify each fields in the extract. You can clear this check box to use the default database characteristics of length and justification for each column specified in the section.
- Submit Net Change on Reprocessing Extract
- Select this check box to only reprocess data that has changed, when re-extracting records. You can clear this check box to reprocess all data, when re-extracting records.
- Include Header In Payroll Extract
- Select this check box to include a header in the extract. Note:
- The Header Name fields are enabled for appropriate fields in the Hours and Extract Configuration sections.
- The fields related to hour types such as Regular, Overtime, Doubletime is enabled in the Hours Codes section and the Header Name field is displayed for these hour types. This enables you to specify the location of an hour type code for the Extract Structure that does not display the hour type for clocked hour. For example, the Single Record per Employee extract structure must display an hour type adjacent to the clocked that is categorized as Doubletime. You must specify DT in the Hours code for Doubletime field, the application inserts a column preceding to the mapped position for doubletime clocked hour.
- Header Name
- The name for the Header section that is displayed in the
extract.Note: This field is enabled only if the Include Header in Payroll Extract check box is selected.

3. Specify the hours for the clocked hours field in the Hours Codes section.
The clocked hours fields include:
- Regular
- Overtime
- Doubletime
- OT Before Shift
- OT After Shift
Note: These fields are enabled only if the Fixed Length or Include Header In Payroll Extract check box is selected. -
Specify this information in the Extract Configuration
section:
- Pos
- The position at which the field is displayed in the extract. If the positions are not specified, the related field is not displayed in the extract.
- Len
- The number of characters allowed for the field length in
the extract. Note: This field is enabled only if the Fixed Length check box is selected.
- Justify
- The placement of the field based on the specified position.
Possible values:
- Left
- Right
Note: This field is enabled only if the Fixed Length check box is selected. - Header Name
- The value that is to be used as the column header.Note:
- This field is enabled only if the Include Header in Payroll Extract check box is selected.
- If a value is not specified for this field, the default value specified for the column header is considered.
- Clock Hours field
- The clocked hours field that is to be displayed in the
extract.Note: These fields are displayed in the Extract Configuration section only if the Extract Structure field is set to Single Record per Employee or Clocked and Alternative Hours Records.
Note: The values in the Site, Facility and Department fields are defaulted based on the value specified in the Payroll Code fields on the Site, Facility and Department forms only if the RS9309 feature is enabled on the Feature Management form. These fields can be used to create spacers in the extract without selecting the Fixed Length.When this feature is enabled, you can leave the Payroll ID field in the underlying form null and specify these fields on the Extract Configuration section. A space is created in the specified position, each record extracts a null in that position.
