Working With Unaccounted for Time

Unaccounted for time is clocked time that is not accounted for with a labor record. There are 2 types of unaccounted for time, open ended and closed ended. Open ended unaccounted for time occurs when a job is stopped but job is not started after this or no clock out has occurred. Closed ended unaccounted for time occurs when there is a gap between two transactions. The Activity Summary panels for the 2 Unaccounted For Time types display the following:

  • Open Ended Unaccounted For Time
    • Panel description = Unaccounted For Time
    • Exception Report Date
    • Scheduled Shift Start and End Times
    • Gap: Gap Start Time – (Gap End Time Open, blank)
    • Action buttons
      • Clock Out
        • Opens the Unaccounted For Time Exception Modal
        • Displays the following fields in read only mode
          • Report Date
          • Scheduled Shift Start and End Times
          • Time of last in transaction
        • Defaults the begging of the Gap time into End Time field
          • This value is editable
        • Select Clock Out to execute a clock out at the specified time
      • Insert Job
        • Opens a New Time Entry Modal
        • Defaults
          • Report Date in read only mode
          • Transaction Start Time equal to the begging of the open ended gap, the field is editable
        • All other fields are open and ready for the entry of transaction data
        • Select Save Entry to create the transaction record
          • A running job can be created by saving the transaction with the end time blank
          • A stopped transaction can be created by saving the transaction with both a start and end time
  • Closed Ended Unaccounted For Time
    • Panel description = Unaccounted For Time
    • Exception Report Date
    • Scheduled Shift Start and End Times
    • Gap: Gap Start Time – Gap End Time
    • Action buttons
      • Edit
        • Opens the employee’s timesheet
        • Use this action to edit times of job or attendance transactions adjacent to the Gap
      • Gap Fill
        • Opens the Gap Fill Exception Modal
        • Displays the following fields in read only mode
          • Report Date
          • Scheduled Shift Start and End Times
          • Gap Start Time defaults into the Start Time field, this is editable
          • Gap End Time defaults into the End Time field, this is editable
          • Fill All Gaps Checkbox
            • When selected all gaps on the report date is filled
            • When unselected only the specified start and end time is filled with a Gap record.
          • Default Task Code
            • Task Code specified on the employee record defaults here
            • If no Task Code on the employee record then the task code specified on the Employee Types – Punch Parameters tab is defaulted here
            • The field is editable and accepts Task Code defined in the Task table
          • Department
            • Defaults the Department specified on the employee’s record
            • The field is read only
          • Defaults the begging of the Gap time into End Time field
          • This value is editable
          • Select Save Changes to create the Gap record
      • Insert Job
        • Opens a New Time Entry Modal
        • Defaults
          • Report Date in read only mode
          • Transaction Start Time defaults to the beginning of the gap time, the field is editable
          • Transaction End Time defaults to the end of the gap time, the field is editable
        • All other fields are open and ready for the entry of transaction data
        • Select Save Entry to create the transaction record
          • A running job can be created by saving the transaction with the end time blank
          • A stopped transaction can be created by saving the transaction with both a start and end time
