Configuring Reduction Sets
Reduction sets define the timing and duration of the break periods that occur within each shift.
To specify reduction set parameters:
- Open the Reduction Sets form.
- Select the New Line icon to create a new Reduction Set.
- Specify a Reduction Set Code and a description for the reduction set.
- To modify an existing Reduction Set, select the code from the panel on left margin of the screen.
-
Set Allow Flexible Lunch Period parameter.
For an Unpaid-Clocked reduction, when this value is set to Yes, and if no clock out occurs, an automatic reduction occurs during the scheduled time. However, if a Lunch Out occurs, regardless of the time of the day, the automatic reduction is cancelled.
-
Create reduction periods by focusing in the Detail
Sub-collection then selecting the New Line icon. Specify this information for
each break period:
- Type
- The reduction set type. The default value is Normal which is the only available value..
- Functions
- Set the reduction functions as a Clock, Lunch, or Break transaction.
- Paid
- Select this check box to determine whether an employee is to be paid for the break. A paid reduction does not reduce attendance hours. Unpaid reductions reduce attendance hours.
- Start Time
- The time when the reduction activity is scheduled to start.
- End Time
- The time when the reduction activity is scheduled to
end.Note: Jobs that occur during an unpaid break have the duration of the reduction deducted from the overall duration of the job. For clockable reductions, the start time and the end time set the point of reference for clock-in rules associated with the reduction.
- Elapsed Time
- Elapsed time of the reduction is calculated from the specified Start Time and End Time.
- Payroll Time Code
- The Payroll Time Code is not used in this version of Time Track.
- Task Code
- When a Task Code is specified, reduction time deducted from labor records will be redirected to the specified task. Even if a value is not specified, when the field is empty, the reduction time is deducted from the labor record, but it is not redirected anywhere. The redirected reduction time appears as a Break record on the Employee’s timesheet after hours are processed.
- Clockable
-
Select this check box to specify that an attendance transaction is used to start and end the reduction. When a reduction is set to Clockable, the start and stop options for the Reduction type are displayed on Attendance Transaction forms.
When the Paid check box is selected, and the employee does not Clock Out for a break, the reduction is not performed. Grace periods, Tolerances and Adjustment rules defined on the Employee Types – Punch Parameter tab are applied to the Start Time and End Time of reduction attendance transaction when the reduction is set to Clockable.
When the Paid check box is cleared, and the employee does not Clock Out for a break, the reduction of time is performed at the scheduled time. Grace periods, Tolerances and Adjustment rules defined on the Employee Types – Punch Parameter tab are applied to the Start Time and the End Time of the reduction attendance transaction when they occur. When the Allow Flexible Lunch field is set to Yes, the automatic reduction for unpaid clockable reductions are suspended when a reduction transaction is specified.
- Confirm Break
- Select this check box to display a message when the employee attempts to clock out without entering a clockable reduction.
- Exclude Absences
- Select this check box to deduct the duration of the reduction from absence hours that occur during the specified time of reduction. If the check box is cleared, the duration of the reduction is not deducted from the absence hours.
- Active on Partial Day
- Select this check box to deduct or redirect reductions
during clocked time on a partially worked day where all scheduled
time is accounted for with clocked time and absence hours. When the
combination of clocked time and absence hours account for all
scheduled times and the check box is:
- Selected: the reductions that occur during the clocked time is applied
- Cleared: the reductions that occur during the clocked time is not applied
If no absence hours are specified on a partially worked day, the reduction that occurs during the clocking time is applied.
Note:- Exclude Absences defines the reductions methods during the absence hours on partially worked days.
- Active On Partial Day defines the reductions methods during clocked hours on partially worked days.
