Copying entity data

Only entity and group accountants can copy entity data between periods. The copy process is useful for copying balances, maintaining consistent structures, and supporting comparative reporting and audits.

Entity data from these cubes is copied from one context to another:

  • FinCon Entity Balances (TFINANC): Stores base financial data for entities and serves as the primary source of financial information before segmentation or detailed schedules are applied.
  • FinCon Entity Schedules (TDETAIC): Holds financial data that is organized by account schedules. This cube is used for detailed reporting and reconciliation, such as comparing imported and actual opening balances.
  • FinCon Entity Segments (TSEGMC): Stores financial data by segments, such as business units and regions. This cube is populated by the TFINANC cube's base financial data when segment data is generated.
  • FinCon Segment with Schedules (TSEGMOVC): Contains financial data that is detailed by schedules and segments, including movements such as an opening balance, increases, and depreciation. This cube is used for segment-level reporting.

Only data in the local currency (LC Scaled) is copied. No currency-converted or rule-derived values are included.

To successfully copy entity data, periods to which data is copied and the status of the Trial Balance entity process on the Landing Page must be open. The source periods can be open, submitted, or closed.

If you select multiple values for the period or entity, or both in the Source section, the corresponding fields in the Target section are disabled and mirror the selection from the Source section. The same behavior applies in reverse when you select multiple period or entity values first in the Target section.

If you select an identical context for the source and target areas, a warning is displayed and the copy process is interrupted until you change the selection. In multiselect fields, invalid or identical source-target pairs are skipped from the copy process.

For the same selection of the configuration set, version, and entity in the context of the Source and Target sections, this behavior applies:

  • If you select the target period, the source periods are restricted to those that precede the target period.
  • If you select the source period, the target periods are restricted to those that follow the source period.

For all other context combinations, all periods are available for selection.

The Copy Data button is enabled only if all required fields in the Source and Target sections are specified.

After clicking Copy Data, entity currency and scaling factor compatibility between the source and target entities is verified. If mismatches or missing configurations are found, a warning or error message is displayed. Depending on the scenario, the process is stopped or continues with warnings. If the source data is not available or the copy process is interrupted, no changes are made in the OLAP database. You are notified and the previously specified fields are displayed.

If you select multiple source contexts and only some contain data, the copy process proceeds only for contexts with available data. You are notified about those with missing data.

Before copying, presence of data in the target context is verified in this way:

  • If data exists, it is cleared before the copy process starts.
  • If no data exists, the copy process starts instantly.

To copy entity data, perform these steps:

  1. Select Data Transfer and Processes > Entity Data Transfer > Trial Balance > Data Copy.
  2. In the Source section, specify the configuration set, version, period, entity, and entry level from which to copy data.

  3. In the Target section, specify the configuration set, version, period, and entity to which to copy data.
    You can specify multiple periods and entities.
  4. Click Copy Data.
