Assignment report
With the Assignment report, you can configure how to forecast your workforce.
You can configure the full-time equivalent (FTE) calculation on each level of an activated dimension.
Activated dimensions depend on the selected calculation method and its configuration. Up to three dimensions can be activated and displayed in the Assignment report. The more dimensions are activated for the selected calculation method, the greater the level of detail that is available in FTE configuration.
If only one dimension is activated, for example, Organization, you can create separate FTE configurations for different organizations. If two dimensions are activated, such as Organization and Job, you can create separate FTE configurations for different jobs within each organization.
Workforce Planning supports version control for the Organization dimension. If the Organization structure changes, a new hierarchy is created to reflect that change. But, the calculated data from previous periods is not changed. If a calculation method is selected in the context menu and one of its dimensions is the Organization dimension, the Assignment report displays its elements with actual employees using the latest valid hierarchy.
Only dimension elements that include actual employees are displayed. If, for example, Organization and Job are activated, once a specific organization is selected, only jobs that are represented by actual employees are displayed.
To configure the selected dimension level, provide these details:
- Drivers, driver weights, and factor values
Select drivers to be used in FTE calculation and specify their corresponding weights and factor values.
If any drivers are missing, you can create drivers and import their values directly in the Assignment report.
- Maximum, minimum, and fixed FTE
If, for example, there are budget restrictions that limit the FTE numbers, you can define the maximum FTE. If legal requirements must be met and the minimum number of employees is required, you can define the minimum FTE.
Fixed FTE does not depend on the actual workload and represents the number of FTE that must be present in addition to the actual workload.
After you save the configuration for the selected dimension level, a configuration icon is displayed to indicate that there is a configuration. The results of the FTE calculation are displayed.
Driver based FTE
The driver based FTE value represents calculated FTE that is based only on the driver configuration.
The FTE is calculated using this formula:
Driver based FTE = (Driver value x Driver weight )/(Factor value x Factor weight)
The driver weight value represents the share of each driver on the total workload. If multiple drivers are used, the sum of all driver weights must be between 99.5 and 100%. If only one driver is used, the driver weight is 100%.
The factor weight accounts for any efficiency issues. If there are no efficiency issues, the factor weight is 100%.
FTE = (500 x 100%)/(100 x 100%) = 5
Total FTE
The total FTE value combines the driver based FTE result and includes the additional FTE configuration such as minimum, maximum, or fixed FTE.
If you specify the Fixed FTE value, the Total FTE equals:
Total FTE = Fixed FTE + Driver based FTE
Additionally, the total FTE value must be greater than the minimum FTE value and smaller than the maximum FTE value. If the calculated total FTE is smaller than the minimum FTE, the total FTE value is adjusted to equal the minimum FTE. If the calculated total FTE is greater than the configured maximum FTE, the total FTE value is adjusted to equal the maximum FTE.
