Action Set - field descriptions
Overview
This page enables you to compile actions into a logical workflow. Action Sets are reusable. Many actions are run with the same Action Set.
- All the information Optiva needs to carry out a workflow.
- The order in which the actions must occur.

For each action, whether its performance depends upon completion of another action.
- Who should perform each action. (This can be reassigned later.)
Using this page, you can also create Wizard Action Sets.
If the Optiva administrator specified function codes for this page, then you can add notes, attachments, and embedded images.
Main tab
Use this tab to enter general information about the action set.- Allow Step Inserts

This check box allows users to add actions to this workflow from the Project Management > Gantt tab.
The Gantt tab when you select this check box.
and buttons become visible in theThe Action Lookup list only contains those actions that have the Action Can be Added box selected. The Action Can be Added check box is in the Action form.
- Default Location
-
Optional. When you specify a location code, this location determines which shop calendar is used to calculate the task dates for this Action Set.

- Description
- Specify the description for the action set. The description is the label that identifies the table to users. Click to specify the translated description.
- Display as Report

Select this check box to add this workflow to the Reports section of the Reports tab.
Workflows that are not reports can be seen in a separate section of all lookups for workflows.
- Group code
- Informational only.
- Has Target Object
-
This check box is read only and selected for non-wizard action sets.
To run wizards from the Home page, clear this check box. Then, specify a value for the Target Data Symbol or leave that field blank.
To run wizards from the business objects, specify a value for the Target Data Symbol field. Otherwise, the wizard is not displayed in the list of action sets for the business object. You can select the Has Target Object box or leave it blank.
When you clear the Has Target Object box, the wizard Action Set is assumed to use the Create New function.
When you select the Has Target Object box, the wizard Action Set is assumed to use the function.
- Show Assignments Grid
-
Select this check box if you want the Assign grid to be displayed in the Launch Workflow page. Otherwise, the Assign grid will be hidden. This check box is not relevant for wizards.
- Stage Gate
-
This field is displayed when the value of the
APM.ENABLED
profile attribute is 1.Select this check box to show the workflow in the Project Management form of the business object.
This check box is not relevant for wizards.
- Target Data Symbol
-
Specify the data object that is to be targeted by the workflow. The workflow will be available from a business object form only for the object you specify here.
This entry is required in order to launch a non-wizard workflow. For example, if the workflow is to approve a new master formula, select Formula from this list.

- Wizard

Select this check box to designate the action set as a wizard. Wizards can be launched from the Home page or from an Optiva object.
- Use for Object Creation
-
Pertains only to wizards. Select this check box to add the wizard to the Rule Code list in the Create New and Save As dialogs.
- Reference Object Symbol
-
Pertains only to wizards when you are creating objects from a referenced object (on the References tab). This field works in conjunction with the Use For Object Creation check box. Specify the reference symbol that is used to create the new object from a References tab.
Displaying parameter descriptions in different languages
You can configure Optiva to display parameter descriptions in different languages. For complete details, see the Optiva Application Configuration Guide.

Steps tab
This tab lets you specify the sequence of actions in the action set. You script the events, or responses, for the actions. The responses can include conditional branching.
- Sort Order
- The database column which is used to sort the rows in the steps. Typically, this value is LINE_SORT_ORDER.
- Action Code

Optional. When you add a step to an Action Set, you do not have to specify an action. You are only required to specify at least one User, Group, or Role.
When you launch a new workflow, any leaf steps that have not already been assigned an Action will be given a default action. (Leaf steps are steps that do not have child tasks.) This default action is specified in the
WORKFLOW.DEFAULTACTION
profile attribute.The default value for this profile attribute is the
APPROVE/REJECT
Action.For category headings, you do not have to specify an Action, User, Group, Role, or Duration.
- Caption
- Specify descriptions for each stage and task in the plan. Click to specify the translated caption label.
- Dur

Enter the duration of the step and select a unit of measure.
- Group
- The user group responsible for the action.
- Instructions

Optional. Specify instructions for the user who is completing the task. Click
to specify the translated instructions label.You can apply bold, italics, underline, strikethrough and colors to text in the Instructions column. The data specified in the Action Set form is also displayed in the Instructions in these grids and forms:- Pending Tasks

Select the level of nesting controlled by the arrow buttons. These buttons are enabled only if the value of the
APM.ENABLED
profile attribute is 1. - Loop Line
- Row ID number of the action to which this action loops.
- Managed By
- Determines if the manager field can be assigned anyone, a specific user,
group, or role or no one. Possible Values:
- Anyone
Any user can change the User value for this task.
- User
A Manager defined as a user can change the value of the task.
- Group
The user launching the workflow must belong to a user group can change the User value for the task.
- Role
The user launching the workflow with specific role can change the User value for the task.
- No One
The workflow window cannot be modified.
- Anyone
- Manager
- The name of the user, role, or group of a user.Note: This field is enabled only if the Managed By field is set to User , Role, or Group.
- Nesting Steps

Click the arrow buttons to indent or out-dent selected actions (steps) for the action set.
- Next Lines
-
This information is generated by Optiva using the information from the Prior Lines column.
- Optional
-
Select this check box if you want to allow users to skip action steps in a workflow. This feature can be used for non-stage gate and stage gate action sets. This check box is not relevant for wizards.
- Prior Lines
-
The row ID of the action that must be completed before this action. If multiple actions are performed simultaneously, list multiple prior line numbers, separating the line numbers with semicolons (;).
At the completion of any workflow action, Optiva examines the Prior Line settings of each action with a Queue Status of Not Started in the Workflows in Progress form. If all Prior Lines for that action have a Rcv Ind. of Completed or Skip, then the Queue Status of that action is set to In Process Queue and its START event is run.
- Role
-
Select the role to be assigned to the workflow action. When the workflow is launched, all actions must be assigned to a role, though the actions may also be assigned to a user and/or group, too.
- Run Only Once
-
Select this check box if this action step can be run only once. To allow the user to return to the step, clear this check box.
This check box applies only to wizards.
- User
- The unique identification code of an user. Click the lookup corresponding to user and select the required value.
Security tab
This tab determines who can launch the workflow when the profile attribute
WORKFLOW.LAUNCHSECURITYDFLT
is 1.
Input tab
- Arguments in a Workflow function
- Constants in Action scripts
The user will provide a value for the parameter once when starting the Workflow. The Workflow proceeds using the parameter value wherever it is needed, without requiring additional user input.
- Call Ind

Indicate whether the column’s entry will be validated.
The choices are:
- none - no validation
- callback - calls the server object for validation.

key - validates against what is listed in the Key Check.
- unused - reserved for future implementation
- Case Force

Indicates whether the field should be forced to uppercase or lowercase.
- Char Check

Indicates whether entries in the custom field are checked against character or numeric requirements.
- none - no character check is performed

alpha all - checks to ensure all characters are alphabetic

alpha no punc - checks to ensure all characters are alphabetic with no punctuation (currently not implemented)
- digits - checks to ensure all characters are numeric
- Data Length
-
Enter the number of characters for string fields and the length of numbers for dates.
- DB Name
-
Enter the column’s name as it will be saved to the database, observing any format requirements of your system’s database.
- Data Type
-
Specify a data type. The value choice of attachment is available for selection only when IDM integration is enabled. This data type enables you to upload document attachments from a wizard to Infor Document Management (IDM).
- Dep Field
- Enter 0 only. Not used for derived values
- Enum Code
-
Identifier of the enumeration list. If the Enum Ind column is enum val list and the Enum Style column is drop list, then you must enter a value in this column.
- Enum Ind
- Type of enumerated list.
- none - no enumeration
- enum query - SQL query
- lookup code - Lookup
- enum val list - Optiva or custom enumerated list
- Enum Label

Defines if the enumeration data is language dependent.
If the Enum Code contains a value, this column is required.- none - use the default value

lang dependent - use the appropriate language code value for the user
- Enum Query
- Name for the query Optiva will use to generate the enumerated list. If the Enum Ind column is enum query and the Enum Style column is drop list, then you must enter a value in this column.
- Enum Style
- Style of enumeration. All entries are single values.
- none - Enum Ind is none
- checkbox - Enum Ind is none
- lookup - Enum Ind is enum query
- drop-down list - Enum Ind is enum val list
- date - Enum Ind is none

derived, filtered, or Multi-value filtered - Set up the field in the Dependent Field Cross Reference page first.
- Format Code

Indicates how to format displayed numbers. Use # for the number of places and 0 for the leading or trailing zeroes.
- Input Code
-
Identifier for the input variable to be used by the workflow. If nothing is entered in the Label column, this name will appear in the Launch Workflow page.
- Input Label
-
Shows the label on the Workflow Launch page. If this column is left blank, the Field Name will be used as the label. Click
to specify the translated input label. - Input No
- Shows the sequential line number assigned by Optiva.
- Key Check
-
Identifies the object type associated with the Call Ind column. The default is “” (space).
- Lookup code
-
Identifies the lookup that Optiva will use in Object Explorer. If the Enum Ind column is a lookup code and the Enum Style column is lookup, then you must enter a lookup code in this column.
You may use an existing lookup or create your own.
- Line
-
This value indicates the row on which you want the field to be displayed in the Wizard. The line is used in conjunction with the step. You cannot modify this value. You cannot modify this value
- Sort Order
- The database column which is used to sort the rows in the steps. Typically, this value is LINE_SORT_ORDER.
- Max Val
-
If the Set Ind column entry is min max, this column must contain the maximum allowable value.
- Min Val
-
If the Set Ind column entry is min max, this column must contain the minimum allowable value.
- Read Only
-
The default value, False, enables users to enter values. The value for read-only is reserved for future use.
- Required
-
Indicates whether users must provide a value when the workflow launches. If “set blank string to null” is selected, a blank field is treated as a null value.

- enumeration for lookups

Step Inputs tab
This tab is only used for wizards.
In this tab, for the fields you defined on the Inputs tab, you define which Wizard page the Inputs fields display on and you define the order of the Inputs field on each wizard page.
- Caption
- Specify the required text which must be displayed as field name. Click to specify the translated caption label.
- Dep Field

Optional. Fields can be configured to only display depending upon a value selected for a previous field. Suppose you want the
KOSHER
Input field to be shown only when users select the Kosher value for the Religious Requirement field.Configure the
KOSHER
Input field to have the Dep Field = RELIGIOUS and the Dep Field Value = KOSHER. - Dep Field Value
- Optional. Specify the value for the dependent field.
- Input Field

The choices that are available for selection are defined in the Input Code field in the Input tab.
- Line
-
This value indicates the row on which you want the field to be displayed in the Wizard. The line is used in conjunction with the step. You cannot modify this value.
- Tooltip
- Specify the default tooltip for the standard fields. Click to specify the translated tooltip label.
Classification tab
In this tab, you assign lab codes to the Action Set object.
