Workflow in Progress - field descriptions

Fields are presented in the order that they are presented in a form. Click a link to see the field descriptions for the form.

Overview

Use this page to view the status of workflows that are in process or complete.

If the Optiva administrator specified function codes for this page, then you can add notes, attachments, and embedded images.

Main tab

Completion Code
Select a code from the list.
Hold

Select a code that describes the reason for stopping use of an object.

Reason

Enter a comment to explain why changes are being made to the workflow.

Stage Gate

Select this check box to add or remove the workflow from the Advanced Project Management page.

This field is available for selection only after you specify 1 for the APM.ENABLED profile attribute and select the Stage Gate check box on the Action Set page.

Target Data Symbol
Select the type of object to target for the workflow.
Default Location

Optional. When you specify a location code, this location determines which shop calendar is used to calculate the task dates for this workflow.

Detail tab

Use this tab to view completed and in process workflows.

Action Code
The actions in the action set.
Actual Start Date
Actual date that the task was started.
Caption
The description of the action.
Completion Date
The date when the action was completed.
Due Date
Adjusted due date for the workflow task.
Dur

The length of time for the action. This numeric value is associated with the unit of measure (UOM). It can represent days, weeks, or months.

Effort

Optional. This is the effort that is required to complete the action step. For example, if you specify 9 and a UOM of days, then the total effort is 9 days.

Error Ind

Indicates whether a workflow error occurred for the action in this line. It identifies the type of error.

Fixed Date

Identifies whether the Start Date and Due Date for the action were changed in the Gantt tab or the Launch Workflow dialog. The values are:

  • None – The Start Date and Due Date fields were not changed.

  • Due Date – The Due Date field was changed.
  • Start Date – The Start Date field was changed.

When you recalculate the dates for a workflow, the fixed dates will not change.

Group Code
The group that is assigned to the action.
Instructions

Optional. The instructions that are provided for the user who is completing the step.

Latest Due

Displays the latest date and time on which this step must finish, without causing a delay in the subsequent steps.

Latest Start

Displays the latest date and time on which this step must begin, without causing a delay in the subsequent steps.

Level

A numeric value that indicates the hierarchical level of the step. For example: 0, 1, or 2. This nesting is established during action set development.

Line
The line number from the action set.
Line ID

The line number that is assigned by Optiva when you insert a task in the Gantt tab. These numbers are in consecutive order.

Loop Line
The line number that the current step (Line) loops to.
Next Lines

The line number that must be completed after this action. This value is set according to the entries in the Line and Prior Lines columns.

For example, if the Line column is set to 3 and the Prior Lines column is set to 2, the Next Lines column will be set to 4.

Object Key

The object key code of the workflow target object. For formulas, this column displays the formula code and version number.

Optional

Indicates whether you want to allow users to skip action steps in a workflow. This feature can be used for nonstage gate and stage gate action sets.

This column is not relevant for Wizard action sets.

Wizard action sets can be run only from the Web Client.

Original Due Date

Original date on which the workflow task was scheduled to be completed.

Original Start Date

Original date on which the workflow task was scheduled to be started.

Percent Complete

Optional. You can use this field to track the progress of an action step. Specify a numerical value between 0 and 100. A value of 100 means that the task is complete.

Prior Lines

The line number that must be completed prior to this action. This is established during action set development.

Queue Status
Select the status for the action:
  • Not Started
  • In Process Queue
  • Closed
  • Ignore

In process workflows display in the Pending Tasks grid.

When you change the status of a workflow to Closed, the workflow is canceled and it is removed from the Pending Tasks grid.

After any workflow action is completed, Optiva will examine the Prior Line settings for each action step with a Queue Status of Not Started.

If all Prior Lines for that step have a Rcv Ind. value of Completed or Skip, then the Queue Status for that step will be set to In Process Queue and the START event will be run.

Rcv Ind

Indicates the response Optiva received from the user, role, or group who performed this action.

Reason Code

This code was selected by the user who processed the workflow.

Risk

A code that indicates whether the workflow is likely to encounter any problems.

Role Code

The role that is assigned to the action. If group access was defined when the action was created, only roles associated with that group can be assigned to the action.

Run Only Once

This column applies only to Wizard action sets. Wizard action sets can be run only from the Web Client. Specify whether this action step can be run only once.

Source User
User who launched or processed this workflow step.
Start Date
Adjusted start date for the workflow task.
UOM

The unit of measure that is used to calculate the duration of the action.

User Code

The user who is assigned to the action. You can select a user from the Lookup.

Input tab

Input

Shows the inputs for this workflow. Inputs are specified on the Action Set page.

Value

Shows the values that are used as inputs for the workflow.

Results tab

You can see the debug logging information and BOD information in the FsActionWipResults table by using the Results tab in the Workflows in Progress form.

Although this tab is primarily designed for use with Optiva ION integrations, you can see any WIP ID that has these action scripting methods:

  • PublishDebugginginfo
  • ArchiveBOD

To populate the Action Status field, Debug Log field and BOD Document field in the Results tab, see the Workflow Administration Guide for details.

You can specify any combination of search criteria in the Results tab.

  1. Optionally, specify the Create Date Start, the Create Date End, or a date range. The Create Date Start indicates the date that a workflow was run.
  2. Optionally, specify an Object Symbol, or specify an Object Symbol and an Object Code. You can use a wildcard (%) as part of the Object Code.
  3. Optionally, specify the user who ran the workflow.
  4. Click Search.
  5. The Action Status, BOD Document and Debug Log are populated by the Action Script. You can click the hyperlinks to see the contents of the BOD document and to view the Debug Log.

Import Log tab

You can access the Import Log tab using any WIP ID. You can view the log statements that result from an import performed by the Inbox Listener. See the Infor PLM for Process XML Import Listener Guide.

Parameters tab

The Workflows In Progress > Parameters tab enables you to see the input values that were created by an Action script. These values are not included in the Action Set > Input tab.

Extension Tables tab

The Extension Tables tab is configured by the Optiva administrator. It enables you to store additional information about the object in a custom table within the Optiva database.

Depending upon how your administrator has configured the tab, you can perform these tasks:

  • Add table rows.
  • Type in column values.
  • Select column values from lookups and lists.
