Document attachments and embedded images
Documentation can be associated with Optiva objects through function codes that are set up by the system administrator. This ensures that the latest version of all relevant documentation for an object can always be found with the object.
The names of function codes describe the type of documentation that is attached to the object. For example:

Documentation can be added in these ways to each function code:
- Free-form text can be typed in and printed.
- Files can be attached.
- URL links can be added.
- Images can be embedded into the database for an object.
After documentation is attached, it can be accessed by other Optiva users. Security can manage access. Sometimes, although an object cannot be changed, the attached documentation can be modified. In other cases, attached documentation can only be seen but not modified.
Note: We recommend caution in embedding files because
they take up space in the database. Embed files only when absolutely necessary,
such as for images in reports.
