Formula - field descriptions

Fields are presented in the order that they are presented in a form. Click a link to see the field descriptions for the form.

Main tab

Adjust Param

Applies only to templates. Select the property to be used as the basis for an adjustment in formulas.

Approval
Select a code that describes the type of approval.
Calc Method

Select the calculation method that is to be applied to the current formula. For the not Standard choice, clear the Set Yield Automatically box and enter the desired yield in the Yield/Yield UM field.

Class

Select a category for the object. An object belongs to only one class.

Formulator
Select the user who created the formula.
Hold

Select a code that describes the reason for stopping use of an object.

Lab Book/Page
Enter the Lab book name and page.
Master Formula

Select this check box to store this version of the formula as the current production version in environments that allow more than one version.

You must enter a value in the Mfg Item field too. Only one version of a formula can be the master formula.

If you change the master formula from one version to another version, higher-level formulas using this formula as an ingredient will be updated to the new version.

Mfg Item

Click the Lookup to select a manufacturing item, or click Create Object to create a new one. Assign the new manufactured item to the “material” component type.

The formula code and the Mfg Item code can be the same.

Once this item is created, it can be used as an item in other formulas.

Phantom Ind

Indicates whether this formula produces a phantom substance.

A phantom substance exists as a transition to other products or it can be packaged as a finished product.

For example white paint can either be used as an ingredient to produce another color or it can be packaged as a finished product.

Process Yield%

Enter the percent of yield produced in the laboratory or manufacturing environment, after accounting for losses.

This number is used for informational purposes only; it has not effect on calculations.

Reason
Select the reason for the formula change.
Rollup ID

An informational field that can be used in Global Calc as part of a search on formulas. For example, you can search for formulas with Rollup ID = 5 and then run Global Calc for those formulas.

Set Yield Automatically

Select this check box to calculate the yield automatically.

Yield %

Enter the percent of the theoretical yield actually produced, after taking losses into account. This number is used for informational purposes only; it has no effect on calculations.

Yield/Yield UM

Enter the theoretical quantity and unit of measure produced by the formula, assuming no losses.

To calculate this value automatically from the formula ingredient quantity total, leave this entry blank and select the Set Yield Automatically check box.

Item Lines tab

The Item Lines tab enables you to view, define, and modify a formula’s ingredients and other component items.

Active Qty
Reserved for future implementation.
Adjust
Reserved for future implementation.
Alias

Use these fields to enter additional codes or names by which the item is known. For example, baking soda is also known as sodium bicarbonate.

Alias codes can also be used to provide translations.

Alternate #

This is a three-digit number ending in 00. It indicates the presence of an alternate ingredient or group of alternates.

Each group of alternate ingredients will have a unique three-digit number starting with 10, e.g., 101.

A zero means that the item does not support alternates.

Attribute

These columns are configured by your administrator.

They can be renamed and have validation or scripting associated with them.

For example, the entries might be forced to all caps. Or, a calculation of the value for one Attribute column can be based on the value (or change in value) for any other column.

Break Code

Select a code from the list. This code specifies how line breaks are formatted for use in spreadsheets and technical parameter equations.

For example, an equation can take the total weight of the items above a line break and use the total to calculate a parameter.

CAS #
Shows the Chemical Abstract Services (CAS) number.
Class

Select a classification for the formula, such as Recipe, from the list.

Common Name

Shows the item’s common name. For example, baking soda is the common name for sodium bicarbonate.

Comp Ind

Indicates the type of item component, such as material, packaging, instruction, or raw material.

Dec Digit
Reserved for future implementation.
Formula Code\Vers

Specify a formula code. When you add a formula using this lookup, this version of the formula is always used, even if it is not a master formula.

If you enter an item in the Item Code column that is a manufacturing item, the master formula for that item will always appear in the Formula Code column, even if the master formula changes.

This menu allows you to perform these functions:
  • Adjust Items
  • Adjust Line Total with Items
  • Scale a Formula to an Item Quantity
  • Create New Items
  • Split Lines
  • Explode Sub-formulas
  • Combine Like Ingredients
  • Explode and Combine Selected Items
  • Explode and Combine All Items

Item Code

Specify an item code.

When you specify a formula as an ingredient and that formula does not have an associated manufacturing item code, “SUBFORMULA” appears in this column.

L#
Shows a system-assigned line number.
Lot Number

Enter a lot number, if desired. This is for informational purposes only.

Mass
Enter the mass quantity.
Operation

Specify the operation code. The operation code is sent from Optiva through ION. This code represents a step in the production process. For example, the code may be BAKE or MIX.

Operation Description

Specify more information about the operation. For example, if the Operation value is BAKE, your description may be “Bake at 375 degrees”.

Parameter
Reserved for future implementation.
Quantity Hi/Lo

Enter the maximum and minimum acceptable value. Select Check Constraints from the Functions menu to verify that all ingredients are at this value, below this value (for Hi), or above this value (for Lo).

Rel Qty Base

Select this check box to specify if the item is a Base ingredient.

In some industries, there is one set of ingredients that are the primary ingredients (which are the Base Ingredients).

Formulation for all other ingredients is stated as a percent of the total mass of the primary ingredients.

The example is called Baker ’s Percent. For this industry, you define the mass of all ingredients by stating them as a percentage of the total mass of flour.

So if you have 10 kg of flour, and 5 kg of raisins, you would formulate by saying “The raisin baker’s percent is 50%”. This means that the mass of the raisins you are adding will be equal to the total mass of flour (10 kg) times the baker ’s percent (50%) for a total mass of 5 kg. So the Relative Qty Base is simply a technique for identifying those primary ingredients.

Rel Qty %

Represents the relative amount of each item with respect to the total of Base ingredients. This column only applies to raw material and material component types.

Base ingredients are noted as those with the Rel Qty Base check box selected.

Optiva calculates the Rel Qty % column values for all of the ingredients as:

Scaling

Use this column to accommodate mass production or laboratory constraints. It specifies the type of scaling for item quantities:

  • Linear
  • No Scaling
  • Auto Adjust to Total
  • Eq Adjust to Total

When a formula yield is scaled, most formula items retain their ratio to the total formula as they are scaled.

Therefore, the default is Linear.

Set items to Auto Adjust to Total to use the automatic quantity sufficient feature.

Section
Reserved for future implementation.
Status

Select a code that describes the current state of the object in the release process.

Sub #

Represents a mechanism for tying multiple ingredients together so that the ratio of quantities for these ingredients stays constant.

For example, you can assign a Sub # of 101. If the ratio of two chemicals must stay constant for the correct chemical reaction to occur, you can give these two chemical ingredients the same Sub #101, and when you do so, the ratio of these two ingredients will now stay constant.

Doubling the quantity of the first will result in Optiva doubling the quantity of the second.

This will be true regardless of how the quantities are altered.
Note: 

Changing the UOM does not count as a quantity change, and as a result, the quantity of other ingredients with the same Sub # will not change.

Type
Select the type of parameter:
  • None
  • Fixed
  • Adjustable
  • Variable
Workcenter

Specify the equipment that is being used to complete the operation. For example, one work center in the production line may be an oven and another work center may be a vat.

Quick Calc Parameters

In the Item Lines tab, click Quick Calc. Then, use the Quick Calc Parameters grid to specify a subset of parameters. When you make a change to an item in a formula, you can see the effects of that change on those parameters immediately.

For each parameter that is listed in the Quick Calc Parameters grid, you can see these values: "Before", "After", "Delta", "Min", "Max", and "UOM".

Byproducts tab

This tab allows you to enter, edit and view a formula’s byproducts. Here, you can see how much of each byproduct the formula produces.

If you enter byproducts for a formula, the formula yield equals the sum of item quantities minus byproducts.
  • Rollup parameters are the ingredient parameters minus the byproduct parameters.

  • Cost parameters are the cost of the items (in the Item Lines tab) plus the cost of the byproducts (in the Byproducts tab).

Break Code

Select a code from the list. This code specifies how line breaks are formatted for use in spreadsheets and technical parameter equations.

For example, an equation can take the total weight of the items above a line break and use the total to calculate a parameter.

Item Code

Specify the item code that is to be used as the byproduct.

L#
Shows a system-assigned line number.
Qty

Enter the mass and volume quantity of this byproduct in the formula, using the unit of measure shown.

Scale

Select the type of scaling for the byproduct. The choices are:

  • Linear
  • No Scaling
  • Auto Adjust to Total
  • Eq Adjust to Total

Instructions tab

This tab shows the items in the formulas that have instructions.

Parameters tab

Parameters depicts the properties of an object that can be measured, calculated, or stated.

Your Optiva administrator configures the filters that a parameter is assigned to and the object templates that a parameter has been assigned to.

The types of parameters include:
  • Rollup - pull data from other object parameters.
  • Information - are entered by you and can be used in calculations, but not roll-ups.

  • Equation total - are calculated by Optiva using equations defined by your administrator.

  • Cost - are associated with production cost.
  • Others - as defined by your administrator.
Attribute
Specify additional Attributes.
Filter
Select a filter from the list to view the corresponding parameters.
Level
Indicates whether the parameter value is:
  • Calculated - by Optiva when you click Reset Calculation Level.

  • Derived from Constituents - Derived from the constituent formula.

  • Manual Override - Your manual entry overrides the calculated values.

  • Pending - Waiting to be calculated or manually overridden.

Make Default
Select a parameter filter and make that filter the default for your own user id. Master Users (who are defined in the Role page) will be prompted to assign the default filter to the user code, lab code, role, or global lab (@DFLT). User code is the most specific assignment, meaning it takes precedence over the most general assignment, which is @DFLT.
Parameter

Shows the Parameters which correspond to the Filter category.

Precision

Enter a description of the precision of the parameter value. It has no effect on the appearance of the parameter.

Reset Calculation Level

Select at least one parameter row before clicking the Reset Calculation Level link.

If the Level field is “Manual Override” or “Calculated”, then clicking this link clears the Value field and changes the Level to “Pending”.

Rollup Ind

Indicates whether the rollup completed successfully for the parameter. That is, a value exists for this parameter for all ingredients.

An Incomplete or blank value indicates that some of the ingredients are missing values for this parameter.

Test Method

Click the Lookup to select a test method for the parameter. These are test suites developed in the Optiva Testing module or test codes established by your Optiva administrator.

Value

Enter a value for the parameter, as expressed in the unit of measure for this row. Or, select a value from the list.

View
Displays the Item Contributions to Parameter page.

Security tab

This tab identifies who can access the object and the types of access privileges that are granted for the Owner, Group, and Role.

The Optiva administrator configures the default security for all objects of this type. You can specify the security for a specific object here. For example, you can assign the Owner full privileges (Read/Copy/Write/Delete), but partial or no access privileges to the Role and Group.

Context tab

You can define the attributes for an object:
  • Manufacturing and selling locations
  • Brand name
  • Type of product
  • Product usage
  • End users of the product

The context data values that are available for selection are configured by your Optiva administrator.

Although you are not required to enter data in this tab, it is useful for performing searches and for running reports.

Classification tab

You can assign set(s) to Optiva objects. The values that are available for selection are configured by your Optiva administrator.

Sets are a useful method for categorizing your objects and for filtering data when performing lookups and searches. For example, food manufacturers can have separate classifications (set codes) for Baked Goods, Fast Food, Frozen Food, and so forth.

By default, objects are only shown in the lab in which they were created.

Once you assign sets to an object, those objects can be seen by users in other labs.

To hide objects from other labs, do not assign them to a set.

References tab

The References tab is used to link to other objects, such as: Vendors, Customers, Specifications, Formulas, Items, and Projects.

You can add referenced objects to this tab by clicking the Create New Object or Create From buttons. The same reference can be added more than once.

After the new object has been added to the tab, you can click the link to open the object in its own window.

Extension Tables tab

The Extension Tables tab is configured by the Optiva administrator. It enables you to store additional information about the object in an extension table within the Optiva database.

Depending upon how your administrator has configured the tab, you can perform these tasks:
  • Add table rows.
  • Type in column values.
  • Select column values from lookups and lists.
