Adding report lines

  1. On the Financial Report Writer > Lines tab, click Add.

    Click this button to add more lines for the report.

    Click the Delete button to remove lines.

  2. In the Type field, select one of these options:
    • Text: Maintains a line of text.
    • Account: Maintains an account number.
    • Net Income: Calculates the net income for the period covered by this report and prints the result.
    • Total: Displays the amount for a specified subtotal level.
  3. If you select Text, specify the line of text and sequence.

    A report is made up of multiple sequence lines. The Sequence field identifies the number of each line and then each line is processed in order.

  4. If you select Account, specify this information:
    From/To Account
    Specify a range of account numbers to include on the report. When you print the report, the system prints all the account numbers entered in this range.
    Unit Codes (1-4)
    Specify the units to view, enter, budget, and report financial information by reporting unit, at the account level.
    Account Description
    The information on this field depends on the value selected in the Type field.
    Group
    Specify a label to be displayed above the group of report lines that print for the range of From/To accounts.

    If you leave this field as blank, the line will be grouped with the most recently identified group line.

    Currency Translation Method
    Select one of these options:
    • None: Select to print report in domestic currency.
    • Current: Select to use the current exchange rate defined in the Currency Codes and Rates form.
    • Spot: Select to use the exchange rate that was in effect at the time the transaction was posted.
    • End: Select to use the exchange rate from the end of the specified account period.
    • Average: Select to use the weighted average of the exchange rate for the account period.
    Add To Ratio
    Specify up to 99 different ratio totals, but only one per sequence line.

    If you specify O, this amount is not included in any ratio. If you enter a number greater than zero, a ratio is displayed on the output. Each of the ratios is separate from each other. The amount can be included in only one ratio group.

    If ratios are to display, the ratio is the amount of the current column divided by the total of all accounts that have the same ratio basis.

    The formula is R = ACC/TA, where R is the Ratio, ACC is the Amount of the Current Column, and TA is the Total of all Accounts with the same ratio basis.

    Compare To Ratio
    The system prompts for a value in this field when an Alternate Ratio set is being performed. When performing the Alternate Ratio set function, specify the new ratio basis.
    Print Line
    Select whether or not to print the report line. If you select Non-Zero, the line is printed only if at least one amount is not zero.

    This field is intended for use with Account type to handle your own amount roll-ups. This field is also used to put a comment line into the report definition that will not be printed on the report.

    Balance Type
    Select Credits, Debits or Both.
    Exchange Rate Type
    Select Buying or Selling.
  5. If you select Net Income, specify this information:
    • Text
    • Currency Translation Method
    • Add To Ratio
    • Compare To Ratio
    • Print Line
    • Exchange Rate Type
  6. If you select Total, perform these steps:
    1. Specify the Text, Print Line, and Compare To Ratio values.
    2. In the Action grid, click Add.

      Click this button to add more actions.

      Click the Delete button to remove actions.

    3. Specify this information:
      Action
      Select the action of the line sequence.
      From/To Sequence
      Specify a range of sequence or line numbers to perform addition or subtraction.
    4. Click Save.
  7. Optionally, click these buttons:
    • Check Account Usage: Click to open the Financial Report Account Check form.

      Use this form to verify if an account or range of accounts has been used in the report and how many times they have been used.

    • Generate Lines: Click this button to open the Financial Report Line Generation form.

      Use this form to generate a range of lines and add these lines to the definition.

    • Re-sequence Lines: Click this button to open the Financial Report Line Resequence form.

      Use this form to re-sequence the lines that are in the report definition.

  8. To hide columns for the currently selected line, perform these steps:
    1. Click the Column Print Control button.
    2. In the Print Column field, select the check box.
  9. Click Save.
