On Order Balance

This field displays the on order balance of the customer across all sites including customer order tax. These are orders that have been entered in to the system but have not yet been invoiced. If the customer displayed is a corporate customer and Corporate Credit is enabled, the on order balance shown is an accumulated total of all subordinate sites.

Note that an order line may have been partial shipped and invoiced; therefore the order line value is not used for the on order balance. Only the element that has not been invoiced is included.

If the Include SROs In On Order Balance check box on the Service Parameters form is selected, customer on order balances are increased when transactions are created (both actual and planned) but are not affected by transactions posting. The on order balance is moved to posted balance after invoice posting.

If the order line has a status of Planned, it is not added to the on order value. Therefore, subsequent lines evaluate against the balance not including planned lines. As the status is Planned, the order cannot be shipped or invoiced. If you change the status of a line from Planned to Ordered, the value of the line is added to the on order balances. If the credit limit is exceeded by the lines with a status of Ordered, the order is put on credit hold as long as a Reason code is entered in AR parameters. For example, if you select the Allow over credit limit check box on the CO line, you force the first line to have a status of Ordered. This then adds the value to the On Order balance, and the second line would fail the credit limit check. You can also run the Change CO Line/Release Status Utility to change a line from Planned to Ordered. Again, if the credit limit is exceeded, the order is put on credit hold.
