Using the Customer Order Credit Hold Change Utility

The Order Credit Hold Change utility allows you to activate the Credit Hold field for a range of customers and subordinate customers on the basis of a range of dates and/or aging.

The utility also assigns these values on the customer orders which have their Credit Hold field selected:

  • Credit Hold Date = System Date
  • Credit Hold User = The user placing the customer on credit hold
Note: The utility will not clear the Credit Hold field for any customer order if that field is already selected. The utility skips those customer orders.

The length of time this utility takes to process the selected records depends on the number of selected customers, the number of active A/R posted transactions for those selected customers, the number of customer orders, and the number of sites at which the customer orders reside.

When the Credit Hold field on this utility is selected, the utility adds the net due amounts of all active A/R posted transactions with the type Invoice for a given customer, determining whether the number of days between the aging date and the invoice date or due date is greater than the Days Over Invoice Due Date. If the sum of the net due amounts is larger than the Aged Posted Balance Limit value for the given customer, then the utility places the appropriate customer orders on credit hold.

Note: This form attempts to update all sites in the site group, and therefore, the "number of records processed" does not include the number of records processed by alternate sites.

To change the credit hold status using the Order Credit Hold Change utility:

  1. In the Credit Hold field, select Hold or Release.
  2. Enter the starting and ending customer numbers.
  3. Enter the starting and ending order numbers.
    Note: If you leave blank the Days Over Invoice Date/Due Date and Aged Posted Balance Limit fields on the Customers form, the Order Credit Hold Change utility selects the Credit Hold field for all customer orders within the specified range of customers and orders.
  4. If you selected Hold in the Credit Hold field, skip to the next step. If you selected Release in the Credit Hold field, enter data in these fields:
    • In the Aging Basis field, select Invoice Date or Due Date.
    • Select a Reason code.
    • Enter the Aging Date.
    Note: When Release is selected for the credit hold, the utility removes all of the selected customer orders from credit hold. However, the utility does not remove any customer orders from credit hold if the customer is on credit hold.
  5. Click Process. The system displays a message asking to confirm the credit hold change, then shows the number of records processed.

In a multi-site environment, if a customer's credit limit is exceeded and the shipping site is the originating site of the customer order, the order is placed on credit hold. However, if a customer's credit limit is exceeded and the shipping site is not the originating site of the customer order, a warning message displays, but the customer order is not placed on credit hold.
