Importing Site Data by Files

You can import site data by files after exporting them from the source site. This two-part process imports site data by files, but only after you export the files from the source site. First, you export the site data as files in your chosen type (CSV, JSON, or XML), then you import the site data from those files in the file type you chose.

Note: If errors occur during the migration, you can view, fix, and re-process them. For details, see Processing Site Data Migration Errors.
  1. If not done yet, add the new site on the Site Management form's Add Site tab. For details, see Adding a site to an existing database.
  2. Log into the source site.
  3. Click the Site Management form’s Export tab, then specify this information:
    Logical Folder
    The folder used to save the exported files.
    Notification Email Address
    Contact to be emailed after the export is done, either as successful or as failed.
  4. Optionally, click the Files button linked to the logical folder to manage files: On the File Maintenance form, view the files in that folder and upload, download, or remove them from there before starting the export.
  5. Choose the file type to export: CSV, JSON, or XML
  6. Click Process to start the AES task. The grid below shows the results and a progress bar shows the percentage processed.
  7. The Ignore Error check box is only available after an initial failure to export data. To continue the process and ignore the errors, select this check box, then click the Process button.
  8. When done, you are ready to import the files: Log into the target site.
  9. Click the Site Management form’s Import tab.
  10. Select the Use Files To Import check box.
  11. Choose the Import Logical Folder on the file server that contains the files to import, then choose the Archive Logical Folder where all successfully processed files will be saved. Note: The files will be automatically deleted after the import unless you choose an archive logical folder.
  12. Optionally, click the Files button linked to the Import Logical folder to manage files: On the File Maintenance form, view the files in that logical folder and upload, download, or remove them from there before starting the import.
  13. Enter a Notification Email Address to send email with the import process status.
  14. Select a data import action:
    Ignore Duplicate Data
    Keep all duplicate data identical to the original data.
    Override Duplicate Data
    Replace all duplicate data with the file site data.
    Refresh All Data
    Delete the login site data and add all file site data into the login site.
  15. Click Process to start the AES task. The grid below shows the results and a progress bar shows the percentage processed. If needed, you can click the Cancel button to stop the process. The Activate Current Site button will be enabled after the import, regardless of any errors. You can click it to enable the site.
  16. If you receive the following email notifications, you can take these actions:
    Email Message Action
    Failed to import data for site: [X]
    • Fix the errors and click the Process button to retry importing the site data. For details, see Processing Site Data Migration Errors.
    • Enable the site and disable site import and refresh: Click the Activate Current Site button to enable the site with incomplete or error data. then click OK.
    Data of site [X] is successfully imported
    • Click the Activate Current Site button to enable the site and refresh, then click OK.
    Data of site [X] is imported incompletely AES had errors that caused a non-start (pending status) or incomplete processing.
    • Fix the processing errors and click the Process button to retry importing the site data. For details, see Processing Site Data Migration Errors.
    • Click the Activate Current Site button to enable the site with incomplete or error data and refresh, then click OK.
