Adding an IDM Enterprise Printer in SyteLine
Note: This process applies only for multi-tenant cloud
environments. You can add an IDM Enterprise Printer for each site, or you can use
the same printer for multiple sites that are physically nearby. Also, be aware that
any document printed using this IDM Print Server will not go through the IDM
Workflow process and cannot be bundled in Document Management.
For information about the Enterprise Connector and Enterprise Location, see the ION Desk User Guide – Cloud Edition.
To add an IDM Enterprise Printer with SyteLine:
-
In ION Desk, select Connect > Enterprise Locations.and add an Enterprise Location for your local printer
server.
When prompted, click Download Credentials. A file with the credentials is downloaded.
- In ION Desk, click the Download icon and download Enterprise Connector to a local folder.
- In the Document Management application, verify whether the document type MG_EnterprisePrinting exists. If it does not, import the MG_EnterprisePrinting.xml file into Document Management to create it. You can find this file in KB article 2156576 on the Infor Support Portal.
- In the Document Management control center, select Configuration > Document Type Filter (DTF) and determine whether the DTF service is enabled. (Enablement of this service is not required.) If the DTF service is enabled, ensure that the MG_EnterprisePrinting document type is in the Selected Document Types list.
-
On the local printer server, install and configure the Enterprise Connector.
Note: You might already be using the Enterprise Connector for other purposes. If so, it might already be installed on a local server.
Server prerequisites:
- The server must include the prerequisites for Enterprise Connector, as described in the ION Desk User Guide. Install Amazon JRE and JKD, if they are not installed.
- The server must be available (not shut down) on a regular basis.
- The server must be able to connect to printers in your local network.
- In ION Desk, select Connect > Enterprise Locations and verify the status of the new Enterprise Location.
-
In Document Management, create and enable an IDM Enterprise
Printer:
- In the Control Center, select Document Output > Print.
- Under IDM Enterprise Print, click MANAGE SERVICE.
- In the Print Locations tab, enable the print server location where you configured the Enterprise Connector.
- In the Printers tab, add a printer that is available from the print server location.
- Click TEST PRINT and verify that the print worked.
- Return to the Printer Services page.
- Enable IDM Document Print, which disables IDM Google Print.
- In Infor Ming.le User Management, add the IDM-User security role for all users who will use the IDM Enterprise Printer.
-
In the SyteLine
File Servers form, verify that the file server named
MG_IDM_PRINT_SERVER is configured and validated as a
print server.
If the file server does not exist, you must add it. Specify this information:
- Server Name
- Specify MG_IDM_PRINT_SERVER.
- Server Type
- Select Infor Document Management.
- URL
- Copy the IDM connection URL from the External App Parameters form to this field.
- Authentication
- Select OAuth1.
Select these options:
- Map IDM Entity with Logical Folder
- Use Tenant
- Print Server
- Use Authentication Server (then select the Service Name idmoauth1auth)
- Use Single IDM User For All Users
Note: It is possible to have an instance of an IDM File Server and another file server instance for the IDM Print Server. - Click Validate Printer. This verifies whether the Enterprise Print service is enabled in the Document Management app.
-
In the SyteLine
File Servers form with the new IDM print server record
selected, click Configure IDM and
verify that the document type MG_EnterprisePrinting
already exists. Ensure that the ACL for this document type is set to Private.
Otherwise the printed documents might be viewable for other users who have the
security role of IDM User.
If the document type MG_EnterprisePrinting does not exist, see steps 3 and 4.
-
In the SyteLine
File Server Logical Folders form, verify that the
MONGOOSE_ENTERPRISEPRINT logical folder exists.
If the logical folder does not exist, you must add it. Specify this information:
- Logical Folder Name
- Specify MONGOOSE_ENTERPRISEPRINT.
- Server Name
- Specify MG_IDM_PRINT_SERVER
- Attached Document Type
- Select MG_EnterprisePrinting.
- In this MONGOOSE_ENTERPRISEPRINT logical folder definition, set the Attached Document Type to MG_EnterprisePrinting.
-
In the SyteLine
Groups form, create access to the logical folder using one
of these methods:
- Select groups that have permissions to print certain reports, and then grant access permission to the MONGOOSE_ENTERPRISEPRINT logical folder.
- Create a new user group called MG_IDM_EnterprisePrint, add all users who need to print reports to this group, and then grant access permissions to the logical folder MONGOOSE_ENTERPRISEPRINT.
-
In the SyteLine
Printers form, configure the printer:
- If there is no printer set up as cloud printer, add the IDM Enterprise Printer.
- If there already is a printer set up as a Google Cloud Printer, change the Google Cloud Printer to the IDM Enterprise Printer.
In either case, specify this information:
- Printer Name
- Specify a name for the printer.
- Type
- Specify Enterprise Printer.
- Print Server Name
- Specify MG_IDM_PRINT_SERVER.
- Printer ID
- Select a printer from the list, which is populated with the IDs of registered printers for the print server. Note that each Printer Name is associated with only one Printer ID.
- In the SyteLine Report Options form, set reports to use the Enterprise Printer. Specify Cloud Print as the Output Format and select the appropriate printer.
-
In SyteLine, print a test report and then view the
PDF output:
- View the PDF from the Report Output Files form in SyteLine. This form is filtered to only show files that you have printed.
- View the PDF In the Document Management application. The PDF is stored with document type MG_EnterprisePrinting.
-
In the Document Management application, you might want to set a
retention policy for the MG_EnterprisePrinting document type. This will purge
the documents after a set number of days.
Note: Using its IDM Enterprise Printing functionality, SyteLine saves the report file into the Document Management app, making it possible to view the file using the SyteLine Report Viewer form. Some users might not want sensitive files, such as payroll check printing runs, to persist in Document Management as well as being sent directly to a printer. You can implement automated removal of the printed files from Document Management through its Retention Policies option. For example, if the Created Date >= 1 day, delete the file.
