Expense Invoice

This widget displays the total number of Expense invoices that are processed through the automation process. The invoices are categorized by invoice status and are displayed in a donut chart. The types of status include:

  • Success: Expense invoices that are successfully registered through the automation process.
  • Archive: Duplicate Expense invoices that are registered through the automation process.
  • Missing Information: Expense invoices that have failed to register as the automation process is unable to extract the mandatory fields from the Expense invoice document. This includes invoices that are reviewed and ready for registration, and invoices that are yet to be reviewed.
  • Needs Verification: Expense invoices that have failed to register through the automation process with exceptions such as:

    • Invoice type cannot be determined
    • User verification is required
    • Invoice is already registered
    • Invoice number exceeds 15 characters

    This includes invoices that are reviewed and ready for registration, and invoices that are yet to be reviewed.

  • Failure: Expense invoices that have failed to register through the automation process with exceptions such as:

    • Scanned invoice status is Entered, Updated, or Closed
    • EDI mismatch
    • Session timeout
    • Scanned document is not an Expense invoice

    This includes invoices that are reviewed and ready for registration, and invoices that are yet to be reviewed.

You can perform these actions in the widget:

  • Filter the widget data, using the Filter icon. The filter options include:

    • Today
    • Month to Date
    • Year to Date
  • Hover over the chart sections to view counts of Expense invoices.
  • Click the Success section in the chart, or the Success icon below the chart, to access the Success window. In this window, you can perform the following actions:

    • View the Expense invoice details such as, Vendor Name, Invoice Number, Invoice Date, Purchase Order Number, Invoice Type, Exception, Comments, and Last Run Date.
    • View and hide row filters, using the Show filter row option.
    • Filter data, using the Run filter option.
    • Remove all filters, using the Clear filter option.
    • Export the entire data to an Excel file, using the Export to Excel option.
  • Click the Archive section in the chart, or the Archive icon below the chart, to access the Archive window. In this window, you can perform the following actions:

    • View the details of duplicate Expense invoices such as, Vendor Name, Invoice Number, Invoice Date, Purchase Order Number, Invoice Type, Exception, Comments, and Last Run Date.
    • View and hide row filters, using the Show filter row option.
    • Filter data, using the Run filter option.
    • Remove all filters, using the Clear filter option.
    • Export the entire data to an Excel file, using the Export to Excel option.
  • Click the Missing Information section in the chart, or the Missing Information icon below the chart, to access the RPA Exception tab in the Exceptions widget. Data related to the Expense invoices with exceptions of Missing Information type, that are yet to be reviewed, is defaulted on this tab. You can review, resolve exceptions, and submit the invoice.
  • Click the Needs Verification section in the chart, or the Needs Verification icon below the chart, to access the RPA Exception tab in the Exceptions widget. Data related to the Expense invoices with exceptions of Needs Verification type, that are yet to be reviewed, is defaulted on this tab. You can review, resolve exceptions, and submit the invoice.
  • Click the Failure section in the chart, or the Failure icon below the chart, to access the RPA Exception tab in the Exceptions widget. Data related to the Expense invoices with exceptions of Failure type, that are yet to be reviewed, is defaulted on this tab. You can review, resolve exceptions, and submit the invoice.
Note: The values specified in the Apply Filters section in the workspace are not applicable for this widget.
