Copy - New Order Information field descriptions
Fields are listed in alphabetical order.
- Auto Apply Credit to Original Invoice

This option determines how credit transactions are applied. If you select this option, the credit is applied to the original invoice. If you do not select this option, a miscellaneous credit is created. It can be applied to any open invoice.
The default value for this option is specified in SA Administrator Options-Documents-Sales Orders. You can change the selection if your operator security allows it.
- Copy Comments
-
Select this option to copy the line item comments from the original order to the new order, and to any back orders that are created.
When you convert a quote to a stock order and do not save the original quote, comments are always copied to the stock order. This option is not used.
If the original order was created through SX.API, select this option to copy the EDI comments to the new order.
- Copy EDI
-
If the original order was created through SX.API, select this option to copy the EDI data to the new order. If you copy multiple orders, this option cannot be selected.
- Copy Int/Ext Comments and Sub Totals
-
Select this option to copy internal or external printing comments and subtotals from the original order to the original order.
When you copy Blanket Releases, stand-alone comments and subtotals are copied to associated lines if you select this option.
- Copy NCNR
-
Select this option to copy the NCNR flag from NCNR lines on the original order to the new order. If you do not select this option, the NCNR value from the Product Setup record is used.
If there are multiple product records, this hierarchy is used to assign the value:
- Product Warehouse Product Setup
- Product Setup
- Product Catalog Setup
To select this option, Yes must be selected in the Allow Entry of NCNR field on your operator record.
- Copy Notes

Select this option to copy the notes from the original order to the new order. If the original order was created through SX.API, select this option to copy the EDI notes to the new order.
- Customer
-
Specify the customer for the new order. By default, the customer on the original order is used. The customer must exist Customer Setup and be active.
The customer determines if the ship to and purchase order are required. If required, you must specify values in the Ship To and Customer PO # fields.
Conditions that are based on the Stock Order Status in Customer Setup can cause the order to be placed on hold. If one of these conditions exists, the order is created, but a message is displayed to indicate that the order is being placed on hold:
- Over the credit limit
- Today's date is past the customer Open Date
- Today's date is before the customer Hold Date
- Order below Minimum Order
- Order over Maximum Order
These conditions prevent new order creation:
- The Sales field is set to Cash Only in Customer Setup-Credit.
- The customer is inactive.
- Tax information is not set up for the customer.
- Customer PO #

Specify the customer's purchase order number. Typically, an order cannot be placed without a purchase order number. The purchase order number is included on all pick tickets, acknowledgments, and invoices.
If the Require Purchase Order # option is selected in Customer Setup, you must specify a PO number.
The Duplicate Customer POs option in SA Administrator Options-Documents-Sales Orders controls whether duplicate PO numbers are allowed. Customer PO# Already Exists (5682) is displayed if these conditions are met:
- Do Not Allow is selected in Duplicate Customer POs.
- The purchase order number from the Customer Setup record updates the Customer PO # field.
You must specify a new purchase order number before the order is copied.
You can reference an existing customer PO number from the related sales order when you enter a Return Merchandise or Correction order, even if duplicate PO numbers are not allowed.
- Disposition

The disposition is included on pick tickets to indicate how the order should be handled. This field is not available for Direct Orders. Select one of these values:
- None: No preference on order handling.
- Ship Complete: All products, including back-ordered items, are staged and held until the entire order is ready for shipment.
- Tag & Hold: The order is tagged with the customer's name, address, and order information. The order is held until the customer notifies you for delivery or makes other arrangements.
- Will Call: The order is set aside until the customer picks it up. A deadline for pickup is usually placed on the order, after which the order is canceled and the products are returned to inventory.
- Just in Time: The customer specifies a delivery date for the order or line items.
If you change the disposition to Just in Time, the line dates are set to the header dates if the line dates are blank.
If you change the disposition from Just in Time, the line dates are cleared.
If an order (-00) has an existing back order, you can only select Will Call or None.
If an order contains line DOs, you cannot select Ship Complete, Will Call, Tag & Hold.
- Fabrication Warehouse

Specify how, or if, you would like to review the fabrication location for each fabricated kit line. Select one of these options:
- Copy Existing: Applies the warehouse to the entire order. The Fabricated Kit Information window is not displayed. The existing settings on the line are used.
- Prompt: Displays the Fabricated Kit Information window for each affected line on the order.
- Reset to ARP: Applies the authorized replenishment path (ARP) warehouse to the entire order. The Fabricated Kit Information window is not displayed. Each kit line fabrication location is validated against theARP warehouse that is assigned in Product Warehouse Product Setup. The line is reset to match this ARP warehouse if it is different than the location on the order.
The value that you select is maintained for the duration of your Sales Order Entry session.
- Freeze Prices

Select this option to use the existing line item price per unit for the line items on the new order. If you clear this option, lines are repriced per PD Pricing Setup records.
- Invoice To
-
Specify the third-party finance company to receive the invoice. This value is validated against the Invoice To field on the customer or ship to record. If the value is not a valid financing agent, this message is displayed:
This Customer Does Not Have a Financing Arrangement (6015)
The finance company’s Accounts Receivable On-Order balance is updated.
- Origin Code
-
The order origin code from the original order is the default value. Order origin codes are defined in SA Table Code Value Setup. To change the origin code, these conditions must be met:
- Yes is specified in the Allow Change of Order Origin Code field in SA Operator Setup-Entry Options
- Allow Editing in Order Entry is selected on the origin code record in SA Table Code Value Setup
- Original Promise Date

The value in this field is the Promise Date and Original Promise Date at the header and line level on the new order. This Promise Date is the date the pick ticket is printed and the line item is shipped.
Typically, the default value is calculated by applying these settings from the product warehouse record to the current date:
- End of Day Cutoff
- Saturday Shipment
- Sunday Shipment
If you convert a quote to a stock order without saving the original quote, the Original Promise Date from the quote is copied to the stock order.
- Recalculate SM Cost

Select this option to re-cost lines and components at the current system cost. Clear this option to keep the current line and component product costs. Returns and non-stocks are not affected by this setting.
This option affects all lines on the order. If you do not select this option, the cost is considered as overridden for each line. Any available rebates are not applied when the order is converted or invoiced. To retain cost overrides on some lines, you can update the cost on the appropriate lines after the order is copied.
- Reprice
-
Select this option to reprice the new order. The most current PD Pricing Setup records are used. If this field is not selected, prices from the original order are copied to the new order.
Typically, a line is repriced with the most current pricing record when the line is maintained. After a price or discount is manually overridden, the line is no longer automatically updated.
This table shows how the Reprice and Freeze Prices options affect the order and line item price and discount override settings.

Select this option to use the default addons from customer or ship to records. If you copy an order from one customer to another, select this option to apply the correct addons for the customer.
If you copy multiple orders, this option is automatically selected. You cannot clear it.
- Sales Rep In
-
The inside sales representative that is assigned to the new order. This value is optional.
Your access to this field is controlled by the setting in the Sales Rep Override Option field in SA Operator Setup.
- Sales Rep Out
-
The outside sales representative that is assigned to the new order.
Your access to this field is controlled by the setting in the Sales Rep Override Option field in SA Operator Setup.
- Sales Warehouse
-
Specify the warehouse that is the originator of the sale. This value cannot match the value in the Warehouse field.
If you copied a sales order with a sales warehouse, the sales warehouse on the original order is copied to the new order. If you copy multiple orders, the sales warehouse from the lowest-numbered order is copied to the new order.
This field is available only if the Sales Warehouse feature is activated in SA Administrator Options.
- Save Original Quote

Select this option to save the original quote.
This option affects order line numbers on the new order.
Select this option to create a copy of the original order. The original line number is reset to match the line number on the new order.
Clear this option to create a special order. The original line number is retained from the original order.
- Ship To
-
Specify the customer ship to if the order is for a specific ship to address.
If you specify a ship to, it must exist for this customer number. If a ship to is entered, all applicable information from the Customer Ship To Setup record is loaded into the header. If you specify an inactive ship to or one with a set closed date, this message is displayed and you cannot continue with the order:
Order Not Allowed, Ship To is Inactive or Job is Closed (5966)
A ship to is required if Require Ship To is selected in Customer Setup-Ordering. If a ship to is specified on customer record, it is included on the sales order even if a ship to is not required.
You can use the ship to records that were created in the Job Management module to create orders in Sales Order Entry.
If these one of these conditions is met in Customer Ship To Setup , you cannot specify the ship to on an order:
- Restricted on the Ordering tab is selected.
- The current date is later than the Job Closed Date on the Job tab.
