Security settings
Limiting access to system functions and controlling the ability to view or manipulate certain types of information is the basis of operator security. Operators' access to Distribution SX.e functions can be limited by setting security levels at the function level, and by selecting controls and other options that allow or limit operators to certain functions or even divisions within your company.
Function security is set up in SA Operator Setup-Function Security. Security levels range from 1 to 5. The highest level is 5.
This table shows a description for each level of security:
Security level | Description |

1 – No Access | The operator cannot access the function. The function is not displayed in the mega menu, and it cannot be accessed from the address field. |
2 – Inquiry Only |
The operator can only inquire on records within the function. In Sales Order Entry, the operator can add orders and make changes to orders in Stage 0 (Entered), Stage 1 (Ordered), or Stage 2 (Picked). |
3 – Inquiry and Change |
The operator can inquire on, change records, and run reports within the function. In report function, the operator can run or copy a one-time report but not run or copy a stored report. In Sales Order Entry, the operator can add orders in Stage 0 (Entered) or Stage 1 (Ordered), and a cancel an order as lost business. In Purchase Order Entry, the operator can add purchase orders and change purchase orders in Stage 0 (Entered), Stage 1 (Ordered), or Stage 2 (Printed); and cancel orders in Stage 0. In Transfer Entry, the operator can add transfers and change transfers in Stage 0 (Requested), Stage 1 (Ordered), or Stage 2 (Picked). |
4 – Inquiry, Change, and Add |
The operator can inquire on, change, add records, and run reports within the function. In Sales Order Entry, the operator can change an order in Stage 0 (Entered), Stage 1 (Ordered), or Stage 2 (Picked); and cancel an order as Lost Business if it is in Stage 0 (Entered), Stage 1 (Ordered), Stage 2 (Picked), or Stage 3 (Shipped for Counter Sale orders only). In Purchase Order Entry, the operator can cancel a purchase order in Stage 0 (Entered), Stage 1 (Ordered), or Stage 2 (Printed) and change purchase orders in Stage 0 (Entered), Stage 1 (Ordered), or Stage 2 (Printed). In Transfer Entry, the operator can cancel transfers in Stage 0 (Requested) or Stage 1 (Ordered), and change transfers in Stage 0 (Requested), Stage 1 (Ordered), or Stage 2 (Picked). |
5 – Full Security |
The operator has full security for the function. The operator can inquire on, change, add, or cancel records and run reports. The operator cannot cancel purchase orders after Stage 4 (Pre received) or change them after Stage 2 (Printed) regardless of the security level. The operator cannot cancel or change a warehouse transfer after Stage 2 (Picked) regardless of the security level. |
