Product Availability Inquiry - Warehouse Availability overview

Use this tab if you are entering a product on a sales order, and a specific warehouse has insufficient quantities to complete the order. Search in this tab to find a warehouse with surplus. Only take stock from another warehouse with a surplus. A non-surplus amount may be designated for other uses.

Filter

Use the filter fields to narrow your search. Select Short Surplus Only to find only warehouses with short-term surplus. Both short- and long-term surplus are displayed in the grid. Use the grid sorting feature to view warehouses with the most surplus.

Warehouse Availability grid

The grid shows several inventory quantities, including warehouse Surplus. In addition, these quantities are displayed from the Balances section of Product Warehouse Product Setup-Costs: Net Availability, On Hand, Reserved, Committed, Back Order, On Order.

To view future availability at multiple warehouses, view the Demand and On Order Minus Demand columns. Demand shows the value from the Demand field in the Balances section. The column, On Order Minus Demand, shows the sum of these values: On Order - Demand. This calculation is updated whenever either of the two values change. For example, the On Order balance is the quantity that has been placed on order with a vendor or warehouse. The value is updated when a purchase order is placed for this product, or when inventory is set to transfer from another warehouse. The field is decreased when the order is received.

For build-on-demand kit products, the net available quantity is informative and the quantity that can be built at any given time is displayed.

Refer to the back order quantity, so you can accurately determine availability when looking at the on-order quantity. The usage per month is the amount of the net available that is predicted to be sold. The warehouse availability can be used to limit the number of warehouses for you to view. The inquiry can become limited if you specify a company, unit, or zone, and only those warehouses with surplus.

If you use the regular net available [non-surplus amount] you may adversely affect the quantities the source warehouse had on hand. If that warehouse is not your regular authorized replenishment path, your withdrawal of stock is not recorded as usage. This prevents them from including the withdrawal of stock the next time they reorder, because it may have been a one-time withdrawal. If the warehouse is your normal authorized replenishment path, usage is recorded.

If changes are made to any of the products that affect quantities, click Refresh to update quantities.

Operator security

If the Do Not Allow Users To View Costs on All Windows option in SA Operator Setup-Cost Controls is selected, costs are not displayed. To see costs for a branch warehouse is set up in another company, a SA Operator Setup record must be created with the correct View Costs security.

For example, you are working in Company 1, and the Warehouse Availability view lists a branch warehouse that is set up in Company 2. To view Company 2’s cost, a SA Operator Setup-Cost Controls record with the Allow User To View Costs on All Windows option selected must be created for you in Company 2.

Storeroom

If you are using Storeroom, inquiries can be performed against Storeroom-managed warehouses with the addition of a Managed search option. The Critical column in the browser shows if the product is a Critical Product. If yes is displayed, the Critical Product option is selected in the Storeroom view of Product Warehouse Product Setup. Critical Products are included in every physical and cycle count unless purposely excluded when count reports are created in Storeroom.

Service Management integration

If you have integrated with Service Management, you can view rental products or equipment, including serial products, that are available or currently rented. In the Search function, specify a rental product and a rental warehouse. In the grid, these column values show the results of the verification:

  • Surplus: The quantity is decreased by the quantity currently rented.
  • Net Availability: The quantity is decreased by the quantity currently rented.
  • Committed: The quantity is increased by the quantity currently rented.
  • Rental: The check box is selected if the warehouse inquired on is designated as a rental warehouse in Product Warehouse Description Setup.
