Use this report to automatically update usage, balance, ordering and frozen product information.

This is an automatic update function that directly affects your inventory files. This function uses information from other modules and performs the following tasks:

  • Builds usage information
  • Rolls balances
  • Calculates ordering controls
  • Freezes products

The information generated from this function is then used by the purchasing department during replenishment of stock levels.

Developing effective and useful usage information is one of the main objectives of this function. The following products are analyzed:

  • Standard stocked products
  • Frozen products
  • Human order method products

Usage is the single most important number used throughout Inventory Control. If the usage estimates are unreliable, inconsistent, or unsound, your buying decisions may be incorrect. The following decisions depend on usage:

  • Ordering
  • Inventory investment
  • Stock positioning

Usage allows you to predict the amount of inventory that is used for all sales (except non-recurring) to customers, replenishment on a regular basis, and internal company needs. Usage is determined by the movement of products in your inventory (with special exceptions) in terms of specific quantities on a monthly basis.

In addition to updating the normal usage for warehouse products and recording usage for products where unavailability triggers it, forecasted usage is updated when this function is run.

Other reports adjust information that is used by Product Administrator Month End Processing Report. You must process these reports before Product Administrator Month End Processing Report:

  • Product Administrator Inventory Classification and Rank Report
  • Product Administrator Review Cycle Adjustment Report
  • Product Administrator ABC Inventory Evaluation Report
    Note:  Product Administrator Month End Processing Report uses the Product Replenishment Setup settings and ABC Stratification rankings instead of hits ranking if you have selected the ABC Stratification option.

If you fail to process these functions before Product Administrator Month End Processing Report, information may not be correctly updated. For example, if you are using the classification (hits) order method and fail to run Product Administrator Inventory Classification and Rank Report, the product's class may not produce the correct order quantity.

Note:  Run this function in update mode at least once a month. Update by setting the Merge History and Freeze Products options to Yes. If you have a large inventory or want to merge history more than once a month, you can set the Merge History option to Yes and the Freeze Products option to No. This prevents products from being frozen while merging history.

If you process this function several times a month with the Merge History option set to Yes, usage is updated and processing time is decreased when you run this function at the end of the month. Be sure to set the option AIM Exceptions (Y)es,(M)onthEnd,(N)o to M or N to only create exceptions when you are ready to review them. If you select M, exceptions are created when the report runs on the last day of the calendar month.

If you do not generate this function at least monthly, you may lose information about stock out days for the months that this function is not generated and the average inventory value calculation may not work as expected.

When you process this function, you can create a file of records created for products that are frozen. In Product Administrator Exception Processing Center, you can review the records in this file and correct the factors that caused the frozen conditions. After you make the correction, the system inactivates the frozen condition record and recalculates the ordering controls. You do not need to rerun Product Administrator Month End Processing Report to recalculate the ordering controls.
