Vendor Balancing Audit Report overview

Use this report to provide balance information for each of your vendors.
This function also provides a means to correct any discrepancies that might exist between a vendor's balance record and the Vendors Invoice Entry record. If discrepancies exist, the balances in the vendor's Vendor Setup record can be changed. Discrepancies can also be printed on the report and changes made manually, if desired. This report is usually run once a week. Due to the time it takes to compile this report, run this report after normal business hours.
The Vendor Balancing Audit Report creates audit transactions for each balance that is corrected. These audit transactions are stored in an internal SA Change Balance Setup (SASB) record.
During processing, the program will compare the current balances in the vendor's Vendor Setup record and the Vendor Transaction Entry file.
For those vendors with an out-of-balance condition for any of these balances, the amount out of the balance will be reported in addition to the total balance, listed above. Vendor record balances that are greater than the transaction record balance are noted with a "^" (up arrow) next to the out-of-balance amount. Transaction record balances that are greater than the vendor record balances are noted with a "v" (down arrow).
If you elect to update vendor files, any amount out of balance will be corrected by adjusting the vendor's Vendor Setup record. The transaction file is not adjusted. If you update vendor files automatically, or manually correct balances in Vendor Setup, the internal SASB record is updated.
Because vendor balances may be kept in foreign currency, the totaling at the end of the report will have a line for each foreign currency total and a total amount of those records accumulated in the domestic currency only. The Domestic Balance on the right side of the totaling area represents the actual total of all accounts out of balance adjusted to domestic figures.
