Aging Periods

Period 1 - Period 4

Specify the number of days in each period. The number of days in a period is always the number of days in the month minus one. Click Set Per Month to automatically calculate the appropriate number of days for Periods 1-4. This is based on the number of days in the current month (Per1) and the number of days in the past three months (Per2-Per4) based on the current system month. Perform this manually each month before rolling balances in the Customer Entry Roll Balances Report. The values are not automatically updated at the end of each period.

In a range of dates, include the oldest date in your count of the number of days, but not the most recent date. The period dates are calculated as the number of days past the age date, not the number of days including the age date. The system initially uses these fields in Customer Setup to determine the correct length of time in each period. The period dates appears according to the Customer Setup last aged date and the number of days you specify for each period. For example:

The Customer Entry Roll Balances Report uses the number of days in each period to determine which invoices are rolled into an older period. Each time the balances are rolled, the dates roll forward as well. The number of days in Period 1 is used to determine which future invoices should be included as current and rolled in Period 2. For the current age date and the number of days in Period 1, all invoices that fall in this range are rolled to Period 2.

To illustrate using the example above, the Customer Entry Roll Balances Report was last processed on 07/18. All current invoices fall into Period 1. Period 1's beginning date is 07/18 and the number of days in Period 1 is 30. The next time the Customer Entry Roll Balances Report is run (8/17), all current invoices from Period 1, which are dated between 07/18 and 08/16, roll into Period 2. All invoices 30 days from 08/17 through 09/15 are now considered future invoices. These become current invoices when the Customer Entry Roll Balances Report is processed. All future invoices dated more than 30 days after 8/17 from 09/16 forward remain future invoices.

An alternate method is to run the Customer Administration Set Aging Periods Report to assign the number of days in each aging period to coincide with the calendar months. This report can be set up as a stored report to run automatically each month before rolling balances in the Customer Entry Roll Balances Report. When you run the Customer Administration Set Aging Periods Report, the system automatically calculates the appropriate number of days for Periods 1-4 based on the number of days in the current month (Per1) and the number of days in the past three months Per2-Per4), based on the current system month.

Special Transactions

Age Miscellaneous Credits

This option and the Age Service Charges option determine how service charges, miscellaneous credits, and unapplied cash are applied to the period balances during the Customer Entry Roll Balances Report.

Select this option to include miscellaneous credits and unapplied cash in the period balances when you roll balances forward. Miscellaneous credit balances and unapplied cash balances display separately on the customer record and are included in the period balances.

If you service charge By Balance in the Service Charges section of SA Administrator Options-Customers, the miscellaneous credit and unapplied cash balances are subtracted from the total amount of Periods 2-5 before service charges are calculated.

To also include service charge balances in period totals in the Customer Entry Roll Balances Report, select this option and the Age Service Charges option.

If you do not select either option, the balances are rolled without including service charges, miscellaneous credits, or unapplied cash balances in the period balances. These balances display above the Total Balance field in Customer Inquiry and are not included in the period balances.

Note:  By default, Age Miscellaneous Credits and Age Service Charges are not selected. To change this option, manually roll service charges and credits (miscellaneous credits and unapplied cash) in Customer Payment History Setup first. Balances should not exist in the Service Charge or Credits columns before changing this option and processing the Customer Entry Roll Balances Report. If balances exist in these columns, the period history is incorrect.

To manually roll service charges, miscellaneous credits and unapplied cash, process the Customer Transaction Activity Report. Only print active service charges and miscellaneous credits. Unapplied cash also prints from the miscellaneous credits option. The due date is the date that is used to age transactions during the Customer Entry Roll Balances Report. Total all transactions within each period and add that total to the appropriate period column in Customer Payment History Setup. Repeat this process until all service charges, miscellaneous credits, and unapplied cash have been applied. Set the service charges and credits balances to zero. Age Service Charges

To include service charges in the period balances when you roll balances forward, select this option. Service charge balances display separately on the customer record and are included in the period balances.

When calculating service charges during Customer Entry Roll Balances Report, the system deducts previously posted service charges first since service charges are not calculated on service charges.

If you service charge By Period in the Service Charges section of SA Administrator Options-Customers, services charges calculated during Customer Entry Roll Balances Report are based on the past due periods' balances less Miscellaneous Credits and Unapplied Cash transactions that apply to each period. If you service charge By Balance, the miscellaneous credit and unapplied cash balances are subtracted from the total amount of Periods 2-5 before service charges are calculated.

If you do not select either Age Miscellaneous Credits or Age Service Charges, the system rolls balances without including service charges, miscellaneous credits, or unapplied cash balances in the period balances. These balances are displayed above the Total Balance field in Customer Inquiry and are not included in the period balances.

Credits Due Date Based On

You can age Sales Miscellaneous credits based on the credit date or on the Customer Setup terms code.

Note:  If you select Terms Code and the Age Miscellaneous Credits option is selected, the discount dates for the OEEH record and the Customer Transaction Entry record are the same. They are based on the terms of the customer.
Default Addons from Invoice To

If selected and the customer has floor planning orders, any addons on the finance company's customer record are used instead of the customer's record.

Include CODs in Total Balance

Select this option to include the COD balance in the customer's total balance amount. Otherwise, the COD balance is displayed below the Total Balance field in Customer Inquiry. It is not included in the total balance amount.

Terms Date Conflict

If Cash Discount Date is Greater Than Invoice Due Date

Depending on how customer terms are set up, the cash discount date on a customer's invoice could be greater than the due date. If this occurs, the due date or cash discount date is adjusted according to this option.

  • Select Reduce Cash Discount Date to reduce the cash discount date to match the invoice due date during Sales Entry Processing Invoice Processing or Customer Transaction Entry.
  • Select Increase Due Date to increase the due date to match the cash discount date.
  • Select Do Not Adjust to leave the conflict.
