Purging inactive vessel and tracking documents

Run the OT Admin Purge Tracking and Vessel Documents Reportreport to remove inactive [closed] tracking and vessel documents. These are the criteria for records that qualify to be purged:

  • All attached PO lines must be in Stage 5 [Received]
  • All tracking documents must be in Stage 9 [Closed]
  • All vessel documents must be in Stage 3 [Unloaded/Closed]

Set this up as a stored report on a weekly or monthly basis to maintain your database.

  1. Select Overseas Trade > Reports > OT Reports > Admin Purge Tracking and Vessel Documents.
  2. You can run a one-time report or store this report for future use.
  3. Click Next.
  4. Specify ranges and options.
    Select No to not purge, and only print, the list of records that qualify for purging.
  5. Click Finish.
