Updating rebate reconciliation claims

The Submit button is available for a single claim that has already been processed and is ready to be updated. When the Proof field on PD Entry Rebate Reconciliation Entry is zero, you can update the reconciliation. Final update edits the totals, opens a journal, updates claims, vendor receipts, line rebates, completes postings, and so on. Click Submit to access and initiate the reconciliation from these windows:

  • PD Rebate Reconciliation Entry
  • Vendor Receipts view for the claim
  • Line Reconciliation view for the claim

Use these instructions to update a claim:

  1. Select Pricing and Discounting > Entry > Rebate Reconciliation.
  2. Select the claim.
  3. Click Submit, and then click Yes.
    The rebate lines with a status type of Updated are processed.
  4. Select the Update option, and then click OK.

    The Update option is accessible if you have operator security to change data, level 3. Several edits are performed to ensure no error conditions exist. If errors exist, the Update field is not accessible.

  5. A journal opens for each claim you reconcile. Provide a valid General Ledger account for the write-off amount. The system edits the totals, update claims, vendor receipts, line rebates, and post amounts to the General Ledger. Click OK.

    If a write-off amount is listed, a window is displayed so you can specify a valid General Ledger account code for the write-off. If an amount cannot be posted because of a missing General Ledger account, it is displayed in the Writeoff Amount field on the Update window. This window is displayed so you can enter an account number, which is validated against the GL Account Setup function. You can either post the entire amount to a single account or split the amount among different accounts. The proof must be zero to continue processing the update. After the Final Update has successfully completed, a message indicates that the final update process has been completed. The journal closes, and then the main window is displayed.
