Order copy requirements

All order types, except for Return Merchandise (RM) and Received on Account (RA) orders can be copied. This table shows the valid copying combinations:

Return Merchandise

When copying orders to a Return Merchandise (RM) order type, there are many restrictions. This table shows what kind of orders cannot be copied to RM orders and why they cannot be copied. 

Situation Reason
The order has had lines returned against it. The quantities on an RM must be negative. When an order is copied to an RM, the quantities are reversed from positive to negative. If a line on the original order has been previously returned, that negative number becomes positive when copied to an RM.
The order is not invoiced. Only SO, CS, or BR orders that have been invoiced can be copied to an RM.
The quantity shipped value on the order is zero. When copying to an RM, the quantity ordered for each line on the new order is updated with the quantity shipped from the original order. It does not create a line with a quantity ordered of zero.

When you copy an order to a RM, the Taxable flag and associated nontax reason, if it applies, are taken from the original order. These values are not taken from Customer Setup or Customer Ship To Setup.

When you copy a DO with a tied purchase order to create an RM, a tied Return Merchandise purchase order (PO RM) is created if the Return Adjust Reason is a vendor return reason or is blank. If the OE RM contains multiple lines when it is created, only one PO RM is created for all lines. The Copy function follows the same logic that is used when an OE RM is created manually.

Counter Sale

When you enter a Counter Sale (CS), the taxes are derived from the Product Warehouse Descriptions Setup record for the source warehouse.

When you enter a SO, the tax rates depend on the jurisdictions that apply for that shipping location and customer. The Origin/Destination option on the SA Tax Master Setup record that is assigned to the Product Warehouse Descriptions Setup record determines the correct jurisdiction.

Because taxes for CS and SO order types are calculated differently, jurisdictions and taxes are recalculated when you copy a CS to an SO. If returns are included on the CS, they are ignored when the new order is created.

If the order or quote you are copying from has a disposition, such as Ship Complete, you cannot copy that order to a CS. The disposition must be none.

Blanket Order

When you copy an order to a Blanket Order (BL), you can specify the lump bill amount for the order. If you are copying from a BL, the existing lump bill amounts are copied to the new order. You cannot copy a BR that has not been converted. If you copy a BR to an SO, the entered date and time are not reset. The values are copied to the header and lines on the new order.

Fulfillment orders are a type of blanket orders. You can copy any type of order to create a fulfillment order. When you create a new fulfillment order through the copy function, the Warehouse List is built for each line item on the new order. The fulfillment stage of the new order is Open. To review the Warehouse List and submit the fulfillment order, you must maintain the order in Sales Order Entry or access Sales Order Fulfillment Inquiry.

Quote Order

If the Quote Order (QU) has expired because the cancel date has passed, the QU can still be copied to a new quote.

If you copy a QU order with a valid alternate warehouse to an SO, the alternate warehouse is copied to the new order. The alternate warehouse is validated in Product Extended Warehouse Cross Reference Setup, Product Setup, and Product Warehouse Product Setup before it is used on the SO.

If any portion of a line on the new order is supplied by the alternate warehouse, the entire line is supplied from the alternate warehouse. If there is an insufficient quantity in the alternate warehouse, a back order is created instead of using products from the primary warehouse.

QUs can be entered for a cash only customer, as indicated in the Customer Setup credit record. You cannot copy the order to another order type, unless the customer status is changed or you copy the order to another customer.

When you copy a QU containing product surcharges, the surcharges are carried to the new order. If the QU is copied to an order for a different customer, the product surcharges are recalculated based on the new customer’s Customer Setup-Ordering record.

You can also copy a QU with nonstock products to a Direct Order (DO). When you create the QU, specify either a vendor or warehouse on the Nonstock window for the nonstock line for it to be copied to a DO. If you enter both a valid vendor and a warehouse, the warehouse takes precedent for the DO. If you do not enter a vendor or warehouse, the nonstock line is not copied to the DO. Finally, the Miscellaneous Vendor (999999999) does not count as a valid vendor because you cannot enter an address on the Nonstock window.

Future Order

When you copy to a Future Order (FO), the promised date and requested ship date are set to the current date. To change the promised date to another date, manually change the order in Sales Order Entry. The new FO can be converted to an SO through the Sales Entry Processing Invoice Processing Report or Sales Entry Processing Cancel/Convert Orders Report. The Reprice option is used instead of the Lock prices question you are prompted with during Sales Order Entry. If you select Reprice, the prices on the new FO are not locked. The prices are recalculated when the Sales Entry Processing Invoice Processing Report converts the order to an SO.

When you copy an FO to an SO, the entered date and time are copied to the new order. These values are not reset.

Direct Order

When you copy to a Direct Order (DO), the Sourcing page is displayed. Select either Auth Replenishment Path, Purchase Order, or Warehouse Transfer. If you select either Purchase Order or Warehouse Transfer, specify the required fields when prompted.

A disposition is not copied to a DO. If you copy an order with a DO line to an order with a disposition of Ship Complete, Tag and Hold, or Will Call, this error message is displayed:

Ship Complete, Tag and Hold, or Will Call not allowed with Direct Order.
