Entering and maintaining General Ledger transactions

Use GL Transaction Entry to correct suspense postings and make incidental adjustments. You can also update General Ledger with transactions that are independent of transactions generated in the interfaced modules. You must have correct security in SA Operator Setup to access GL Transaction Entry.

  1. Select General Ledger > Entry > Transaction.
  2. Select Existing Group or New Group.
  3. Specify a group name and click Search.
  4. Click Open to open a new journal, if one is not already open.
  5. Select a transaction in the grid, or click New .
  6. In Account, specify the account code to which you want to post this entry.
  7. In Type, specify whether this transaction is a debit or credit, or specify 1-Debit or 2-Credit.
  8. In Reference, specify a reference.
  9. Optionally, in Extended Reference, specify an explanation for this entry. Extended references are printed on the journal when you select Yes to Print Additional References in GL Journal Print.
  10. In Amount, specify the transaction amount.
  11. In Date, change the date of the transaction from the current system date.
  12. Expand the Customer or Vendor sections. To track off-line customer or vendor information, specify the information.
  13. Click Save.
  14. In the grid, select a transaction. To place a transaction on hold, select Hold Actions > Hold.
  15. Repeat steps for additional entries you want to make in this batch.
  16. If you are ready to update the group of transactions, select Update Actions > Final Update or Final Update Report. If you intend to add to or maintain the transactions later, you can minimize or close GL Transaction Entry. Make a note of your group name so you can access it at a later time.
  17. If you specified a posting date that differs from the transaction dates, a message is displayed: Posting Date Differs from GL Postings, Update using Posting Date?. Select Yes to use the post date on the Update window instead of the dates specified for the GL transactions. Select No to use the date from the GL transactions as the posted date. If you select No, you should change the Period to match that of the GL transactions.
  18. If you clicked Final Update Report, complete the printing instructions and click OK.
