Reversing a payment for NSF

Perform these steps only if the customer payment reversal feature has been activated. The reversal function can only reverse payments that were applied to the customer account from Customer Cash Receipt Entry, and with the posting Type set to Payment.

  1. Select Customer > Entry > Payment Reversal.
  2. Specify a value in the appropriate search criteria and click Search.
    Although these fields are optional, we recommended that you specify as many criteria as possible to narrow the list of results. This practice allows you to find the specific payments to reverse, with less data to review in the grid. For example, because you are reversing a customer payment that was paid with a non-sufficient fund (NSF) check, specify the check number.
  3. In the grid, drill down on the payment transaction to be reversed.
  4. In the Payment Reversal detail page, in Reversal Reason, select NSF Check.
  5. Optionally, in Reversal Description, specify an alphanumeric description up to 256 characters in length.
  6. In Division, you can accept the default value.
    The default value is based on the division assigned to the customer and the operator performing the reversal. Your SA Operator Setup settings dictate which divisions you can access. If you have valid security, you can change the default value, if required. Only divisions valid for you are available from the field. All customer payment transactions require a division, even if the company is not fully divisionalized.
  7. Take note of the # of Previous NSFs.
  8. In NSF Fee, you can accept the default value.
    If no fee was specified for return of a non-sufficient fund (NSF) check, 0.00 is displayed. If a fee was specified, that fee is displayed. This field is not editable if you do not have security. If you have correct security, you can override this default value. If the option, Waive First NSF Fee, was set for this customer, the NSF Fee is waived for the first NSF Check reversal. In that scenario, this field is unavailable and 0.00 is displayed.
  9. In Terms, you can accept the default value.
    The default value is based on terms assigned to the customer in Customer Setup-General-Billing-Terms. This field is required if a fee is specified in NSF Fee. If necessary, you can override this default value by selecting a valid Terms code from the list.
  10. In Invoice, specify the invoice number for the payment you are reversing.
    This field is required if a fee is specified in NSF Fee. The fee is charged to the invoice you specify.
  11. In Split Check or Group Customer, specify the customer or customer group that is to be charged the NSF fee.
    This field is only displayed if the payment created in Customer Cash Receipt Entry is associated with a split check or a customer group.
  12. Click Submit.
  13. When the journal opens, click OK.
    The payment record and related records are automatically reversed and updated. The payment is marked as reversed, with a reversal reason and description. Payments that have previously been reversed cannot be reversed again.
