Bond #

If the job is bonded, specify the bond number associated with this ship to job number.

Bonded

If this ship to job is bonded, accept the default setting and specify the bond number. If it is not bonded, clear this option.

Description

A description for this job. The description is for informational purposes. You can specify a location, name, project, or any other information associated with the job. A job description is required for all ship to records whether you use jobs or not.

Job Identifier

Specify the job ID, and revision number, if applicable, to assign this customer ship to to a Job Management job. If the ship to record was created automatically when a job was released to pricing records, this field shows the associated job ID but it can be changed.

Addresses

You can specify an address for the general contractor, the owner, and the lender. When the preliminary is filed, these names and addresses are required. It is beneficial to maintain the information on the job record.

You can also specify a phone number for the general contractor. Use the phone format that is set up in SA Administrator Options-System-Options.

Preliminary Lien

Amount

The preliminary amount is the total amount the job is expected to cost. It represents the amount of the claim your company has in the job. The preliminary lien amount is used for credit limit purposes in Sales Order Entry. Each time an order is placed for this job, the preliminary lien amount is compared to the Sales JTD (Job-To-Date) amount to determine if the preliminary lien amount has been exceeded. If the Hold If Over option is selected, the order is automatically placed on hold.

Filed

The date the preliminary was filed.

Filed By

The initials of the employee who filed the lien preliminary for your company's interest.

Hold Days

The preliminary filing deadline expressed in days from the first sale.

Hold if Over

Select this option to hold orders placed if the ship to has exceeded the sales limit. The order is placed on hold if these conditions are met:

  • A value is specified in the Hold Days field
  • The Filed field in the Preliminary Lien section is blank
  • The current date is greater than or equal to the hold days after the first sale date
With

A preliminary lien officially covers your interests in this ship to job. The preliminary lien is generally filed with the state government in which the job is located. A preliminary lien reserves your right to file a lien for the amount you have estimated your portion of the job to be.

Filed Lien

Amount

The actual amount the lien was filed for.

Filed

If the conditions of the job were not met, you can file a lien to protect your interests. Specify the date the lien was filed.

Filed By

The initials of the employee who was given the responsibility to file the lien.

Job Statistics

Completion %

A percentage can be calculated from the accumulative Sales JTD Amount, divided by the preliminary lien amount.

Estimated Completion Date

The estimated completion date for this job. This should be the date on which the company or contractor has estimated the entire job will be completed.

Job Close Date

Specify the date the job was closed. Subsequent entries to the closed job receive this message: Order Not Allowed, Job is Closed (5966).

Revised Estimation Date

If the job completion date must be changed or extended, specify the revised completion date in this field.

Sales JTD

The Sales JTD amount represents the actual invoiced sales for this ship to job thus far. This field is updated each time an order is processed through the Sales Entry Invoice Processing Report. The Sales JTD amount is compared to the Sales Limit field to determine if the next order should be placed on hold.

Orders that are not yet invoiced (Stages 1-3) are included in the job-to-date total sales during credit checking. This total is checked against the preliminary lien amount to ensure the credit limit is not exceeded.

Start

This date is critical. You have a certain number of days from the date of the first sale to file a preliminary lien for your claim.
