Use this function to create and maintain product restrictions that are mandated by government entities, distributors, or vendors.

When you perform these actions on a sales order line or sales order, products are validated against the product restriction records that you set up here:

  • Create
  • Edit
  • Copy
  • Convert
  • Finish
  • Manually ship
  • Electronically receive

Depending on how the record is set up, these conditions may apply to the product:

  • Allowed
  • Allowed with a certificate or license
  • Not allowed
  • Not allowed with a restriction override option

Restriction records are first set up at the product level. Additional records can be set for product line, category, price type, and brand code. You can then attach optional customer-level records to the product restriction record that further define the restriction. You can set up customer-level records based on the many criteria. These are examples: customer, ship to, customer type, customer price type, customer territory, certificate or license, city and state, state, postal code, and country.

Before creating a restriction record, consider how you can impose the restriction without creating unnecessary records that might impede system performance. For example, a product is restricted in Hawaii and Alaska but not in the contiguous United States. You can create a main product restriction record that does not allow the product. Then attach two customer-level restriction records, one for Hawaii and one for Alaska. Conversely, you can create a main product restriction record that allows the product. Then attach 48 customer-level restriction records, one for each state except Hawaii and Alaska.

You can set up a restriction record that allows a product for a list of customers. If you select Not Allowed in the Status Code field, this also restricts the product to those customers only. This prevents your customer service reps from selling the product to any other customers. You can select Allow Restriction Override to enable a user to sell the product to customers that are not on the Product Restriction Setup-Customer Detail list.

To delete a record, it must be inactive and it cannot be associated with an active certification or license record. Select the record on the grid and click Delete. You can select and delete multiple records simultaneously.

To change to status of records, select the records in the grid and then click Activate or Deactivate.

To add or change records, you must have a security level of 4 for ICSPR in SA Operator Setup-Function Security. To also delete records, you must have a security level of 5.
