Use this page to create, maintain, or delete product records. After you set up a product, the information does not change frequently.

Deleting product records

Review these considerations before you delete a product record. When you delete a product, all history records for that product and warehouse product record are deleted.

  • Balances: All product quantities must be zero to delete product records.
  • Related records: If the product is a kit component, the corresponding record in KP Substitute Components Setup is also deleted, and an error message appears in KP Components Setup.
  • A product record is not deleted if there are active lines on sales or purchase orders. There are some exceptions:
    • Product records that have Purchase Order Entry line items in Stage 5 (Received) that have been sold and invoiced are deleted.
    • Product records are also deleted if Sales Order Entry line items and kit components exist on Return Merchandise orders that have not yet been shipped.
  • If a product is in a cycle/physical count run, you cannot delete the product.
  • If notes exist on a warehouse product record, and that record is deleted, the notes still exist on the Product Setup record.
  • Administrative options: The associated rebate in PD Pricing Setup is deleted if Pricing By Warehouse is selected in SA Administrator Options-Products-Pricing. The internal SM Extended Warehouse Setup Product Totals record is deleted if the Cust, Prod, Whse option is selected in SA Administrator Options-Sales History-Levels.
  • Active lines: Check for active lines before you delete a product record. These records are deleted when you delete a product record:
    • Product transactions (ICET records)
    • Product Extended Serial Number Setup
    • Product FIFO Setup
    • Product Extended Lot Number Setup
    • Product Extended Unit Conversion Setup
    • Product Warehouse Product Setup
    • KP Substitute Component Setup
    • PD Pricing Setup - Customer Pricing
    • PD Pricing Setup - Vendor Pricing
    • PD Pricing Setup - Rebates

Division security

If you have multiple divisions in your company, products set up in Product Setup should be assigned to divisions when you create a warehouse product record in Product Setup-Warehouse Products or Product Warehouse Product Setup.

If you maintain product records in Product Setup at the corporate level only for all divisions, allow only those corporate personnel that are responsible for adding products the security to do so. For division-level employees who should not have permission to create or maintain product records, set their function security for Product Setup (icsp) to Level 1 (Inquiry) in SA Operator Setup.
