Use this file updating function to review exceptions and frozen conditions that occur during the Product Administration Month End Processing Report and Purchase Receipt of Inventory Entry.

Use the Search panel to limit the frozen conditions that are displayed in the Exception Processing Center grid. For example, to review frozen conditions for your products within a particular product line, specify your initials and the vendor number and line. Products within a particular class, such as Class 1 can be listed for review and expedited. The product Status field can be used to limit exceptions to those products with a specific status.

A Product Administration Exception Center file is created each time Product Administrator Month End Processing Report is run and you elect to review any of these frozen conditions:

  • 15-day stockout
  • Low usage
  • Zero lead time
  • Unusual sale

Each time you process Product Administration Month End Processing Report at month end and create a new Product Administration Exception Center file, the previously created file is overwritten. Exceptions created during Purchase Receipt of Inventory Entry are not overwritten. You must delete them manually.

A table attached to the Product Administration Exception Center record contains every exception for the product, for that month’s Product Administrator Month End Processing Report. Normally, the exceptions are notifications to the buyer, acting as a sort of buyer beware message. The buyer should take a closer look at particular ordering controls and make changes if required.

Exception records are not created for order as needed products unless the Product Replenishment Setup-Exceptions frozen parameters are defined. In addition, the Freeze Products option in Product Administration Month End Processing Report must be Yes. Exception records are also not created for permanently frozen products. Because history records should accumulate for six months before the system modifies ordering controls, new products are not included in Product Administration Exception Center unless you choose to review products frozen in the past (the Prod Frozen in Past option is set to Review).

If a stocked product's frozen reason is New Product, it cannot also be frozen due to Low Usage or Exceptional Usage. However, because a product can be frozen for more than one reason, it may be frozen for both Extended Stockout and Zero Lead Time. Products frozen due to insufficient usage history for the number of months usage, seasonal months, or 24 months if using the trend percentage specified in Product Warehouse Product Setup are printed on the Product Administration Month End Processing Report if their frozen reason is anything other than New Product.

This table show suggestions for adjusting Inventory Control records for each frozen condition. These are suggestions only and are not absolute solutions to handling frozen items.

Product has experienced an extended stockout Unfreeze the product, adjust usage history, and adjust the number of months frozen to 0. You can also leave the product frozen and make no adjustments.

After you change a record, Updated is displayed on the line item.

You also use this function to access inventory records to view more detail about the selected product by double-clicking on it to display the Product Administration Exception Center-Detail window. From this window you can click Maintain Warehouse Product to access the Product Warehouse Product Setup-Required, Ordering, and Frozen views.
Note: You are not required to rerun Product Administration Month End Processing Report to recalculate ordering controls. If you make adjustments that cause the product to be unfrozen, the ordering controls are recalculated when you click Recalculate Ordering Controls on the Product Administration Exception Center-Detail window.
