Using a Reference Transaction for a credit card RM order

You can process a Return Merchandise (RM) order for an order that was paid with a credit card using a Reference transaction.
  • You can refund a One Time Sale transaction amount to the original credit card, such as a counter sale being returned for refund.
  • For an AUTH/FSAL transaction type, you can refund to the original credit card.
  • For an AUTH transaction type, you can maintain an order, such as adding quantity or adding products, and charge the original credit card. With the AUTH, the card has not been charged yet and the sale is not final.

Use these instruction to create a return merchandise order after the sales order was picked, shipped, and invoiced..

  1. Select Sales > Entry > Order.
  2. Specify the customer and warehouse.
  3. Select Return Merchandise in the Order Type field .
  4. Click Next.
  5. Specify the return adjust reason and invoice number.
  6. Click Next.
  7. If Invoice number is either not active or is zero. Would you like to continue? is displayed, then click Yes.
  8. In Advanced Line Entry, specify the returned product and quantity.
  9. Click Add.
  10. On the Returns page, specify the original order number if it is not displayed in the Invoice # field.
  11. Specify the line number of the product on the original order.
  12. Click Submit.
  13. Click Collect Payment.
  14. Select Shipped as the Totals By value.

    By default, the amount of the order is displayed in the Total Refund field. The amount is also displayed in the Process Payment section.

  15. Payment type information for the original order is displayed in the Payment Type and Payment # / Reference fields. The reference information includes the original order number, transaction type, last four digits of the account, and the total amount charged. Click Accept Payment.

    In the Authorization Details in the Payment History section, retn is displayed in the Transaction Code field and true is displayed in the Hold CC field. The return is on hold until it is sent to your integrated credit card processor, such as CenPOS or Stripe, when you run Sales Entry Processing Invoice Processing Report.

  16. Finish the order.
