Entering a reversal for a customer

Enter a reversal to correct an invoice or service charge that was entered in error. You can enter reversals for these transaction types that are active and have not had any payments or credits applied to them:

  • Invoices
  • COD invoices
  • Miscellaneous credits
  • Service charges

If the invoice to reverse was created in Sales Order Entry or the Sales Entry Invoice Processing Report, reverse it through Sales so General Ledger is updated correctly.

  1. Select Customer > Entry > Customer Transaction.
  2. Click OK to open a journal.
  3. Specify the customer number, and then select Reversal in the Type field.
  4. Specify the type of transaction you want to reverse. If you select Unapplied Cash, specify the unapplied cash invoice number and sequence number.
  5. Click Next.
  6. Specify the invoice number of the transaction to be reversed.
  7. Specify the invoice date and a reference.
  8. Click Next.
  9. If the journal entries that were made for the original transaction are automatically reversed, go to the last step.
  10. If the system cannot find the correct amounts, click Add to specify offset accounts and amounts.
  11. When the proof amount is 0.00, click Save.
  12. Close the window to exit the function and close the journal.
