WM interface with other functions

Warehouse Manager (WM) interacts with other Distribution SX.e functions. Depending on how you set up Warehouse Manager, actions that occur in other functions affect WM records or make the Warehouse Manager Bin Allocation function available in the user interface so you can make adjustments to allocations or bin assignments. An overview of those interfaces is presented for Product, Sales, Purchase, Transfer, Kit Production, and Value Add functions.

Product Warehouse Product Setup

Whenever there is a change to inventory quantities, the quantities in Warehouse Manager must also be changed so that both systems remain in balance. Warehouse Manager is initially enabled in SA Administrator Options, but you must select Warehouse Manager in Product Warehouse Product Setup-Required to enable individual product records.

When Warehouse Manager-controlled product is received, moved, or shipped, you are prompted to specify a bin location if a bin location does not already exist.

In the General view, you can specify these parameters:

  • Bin type
  • Allocation type
  • Priority
  • Restrictions

Bin locations are optional. We recommend that you specify the primary bin location in Bin Location #1 exactly as specified in the Assignment field of WM Bin Location and Product Setup. Bin Location #1 is updated with the primary or single bin location when you run the WM Audit Report.

If product records are deleted in the Product module, the related product records are also deleted in Warehouse Manager, including WM Transaction Entry and WM Bin Location and Product Setup records.

If the Allocate Type field in Product Warehouse Product Setup is blank, Cube Capacity is the default setting. If you use Size Type when setting up SA Table Code Value Setup to restrict allocations, make corresponding entries in Product Warehouse Product Setup.

Product Unavailable Inventory Entry

When you make inventory available or unavailable, the corresponding inventory quantities must be moved to unavailable bin locations. Use the Warehouse Manager Bin Allocation window to record the changes. For example, if you make inventory unavailable, the Warehouse Manager Bin Allocation window first displays so you can remove the quantity from the regular bin location. It displays a second time so you can add the quantity to an unavailable bin location.

Product Adjustment Entry

If you adjust inventory in Product Adjustment Entry, the corresponding WM bin information must be updated. Use the Warehouse Manager Bin Allocation function to increase or decrease the inventory amount.

Product Entry Physical Count Report

In the Product Entry Physical Count Report and Product Entry Cycle Count Report, if you specify Yes for the Use Warehouse Manager Bin Locations?, the count is taken from WM Bin Location and Product Setup records. Only Warehouse Manager-controlled products are included.

Sales Order Entry

During sales order entry, inventory is assigned to an order when the pick ticket is printed. This inventory is linked to a primary bin location and is printed on the pick ticket. If inventory was not picked from the assigned bin location, you can re-assign or assign a WM bin location to an order when the pick ticket was never printed. If you specify a regular warehouse-managed product on an order, the Warehouse Manager Bin Allocation function is available.

If a transaction involves a Returned Merchandise (RM) Order Type in Stage 3 or less, committed quantities can be negative. If you enter a Counter Sale or if an over-allocation occurs, you must use the Warehouse Manager Bin Allocation function with an error. This is the only exception Warehouse Manager considers. If order line is a build-on-demand kit, you must access the components because every component has its own bin location.

Sales Entry Invoice Processing Report

Warehouse Manager Not Assigned prints on the Sales Entry Invoice Processing Report Exception Report and the invoice is not processed if one of these conditions occur:

  • The stock quantity shipped does not equal the Warehouse Manager quantity shipped.
  • WM transaction records exist with a bin location of **/**/***/***, and the actual quantity is not set to zero.

If this exception does not occur, the Sales Entry Invoice Processing Report updates the WM transaction records to Stage 4 (Finished). If Delete Transactions When Complete in SA Administrator Options-Products-Warehouse Manager is selected, the WM transaction records are deleted.

Sales Entry Pick Tickets Report

When this report runs, each Product Warehouse Product Setup records are checked for the Warehouse Manager option. If the option is selected, the WM Bin Location and Product Setup record is used. If the option is not selected, then the bin location on the Product Warehouse Product Setup is used. If the quantity of bins is insufficient, WM transaction records are created with a temporary bin location of **/**/***/***. The Committed field in the WM Bin Location and Product Setup record is updated for recommended product picking.

When you print pick tickets in bin location order, a line prints one time for each bin location to be picked from. If pick tickets are reprinted and a decrease is made or a return is reprinted, All WM transaction records for the line are deleted and a new allocation is performed.

If an increase occurs, the difference is allocated to existing WM transaction records and WM Bin Location and Product Setup records. If Pick Only Primary Binsin SA Administrator Options-Products-Warehouse Manager is selected, only the primary bins are picked from. Therefore, the quantities cannot be negative.

Sales Shipping Feedback Entry

To manually assign bins at shipping, access the Warehouse Manager Bin Allocation function from the Shipping Details window in Sales Shipping Feedback Entry. Warehouse Manager shows where products were pulled from. You can then save, auto assign, or deallocate bins.

Warehouse Manager-controlled products are automatically assigned when you use the functions in the Warehouse Manager Bin Allocation function, if these conditions are met:

  • The Warehouse Manager quantity shipped field in Sales Order Entry is zero.
  • The total quantity shipped for the line is greater than zero.
  • There is a bin with product available.

The Auto Assign option recommends bins and quantities to pull, creates WM transaction records, and updates the Committed field in WM Bin Location and Product Setup.

If a bin is not assigned, the product is over- or under-allocated, or a bin **/**/***/*** has a Warehouse Manager quantity shipped that is not zero, you get an error in Sales Shipping Feedback Entry . The Sales Entry Invoice Processing Report prints an exception and prevents invoicing. If the product was over-allocated, the Warehouse Manager Bin Allocation function becomes available so you can allocate the correct amount.

If the Pick Only Primary Bins option in SA Administrator Options-Products-Warehouse Manager is selected, the entire quantity is pulled from the primary location when you run the Sales Entry Pick Tickets Report. The Warehouse Manager Bin Allocation function can enable quantities to be pulled that are greater than what is available in the bin.

Sales Order Audit Report

If WM transaction record quantities on Warehouse Manager-controlled line items or kit component records do not match with the Warehouse Manager quantity shipped, an exception occurs. If the Sales Order Audit Report is run in update mode, the Sales Order Entry line or kit component quantity shipped field is updated with the WM Transaction Entry total. WM transaction record reconciliation is only available for orders in Stage 0 (Entered) through Stage 3 (Shipped).

Sales Order Master List Report

The Sales Order Master List Report includes the quantity shipped for line item, kit component detail, and Warehouse Manager.

Purchase Entry Receipt of Inventory

Purchase Entry Receipt of Inventory uses the bin location for products received based on the Warehouse Manager option in Product Warehouse Product Setup. When you perform an update in Purchase Receipt of Inventory Entry, the quantities in WM Bin Location and Product Setup are subtracted from the Received balance and added to the On Hand balance.

If a Return Merchandise order is in Stage 2 (Picked) or less, the Received balance may be negative. Dates and times are updated in WM Bin Location and Product Setup. The WM transaction records are deleted if Delete Transactions When Complete in SA Administrator Options-Products-Warehouse Manager is selected. If you save the transactions, the stage advances to Stage 4 (Finished).

If you generated the Purchase Pre-Receiving Report, a list of recommended bins is displayed in the Warehouse Manager Bin Allocation function. If you did not generate Purchase Pre-Receiving Report, click Auto Assign to view a list of recommended bins.

Select Deallocate to remove all outstanding WM transaction records that are tied to the line and remove the quantity suggested from the WM Bin Location and Product Setup quantity Received field. If the purchase order is an RM, only Save Bins option is available. Direct Order (DO) and Accumulative Purchase Order (AC) types are not be applicable for Warehouse Manager.

Purchase PO Audit Report

WM transaction record quantities for a product on a line are compared with the Warehouse Manager Received quantity. If a discrepancy occurs, an error message is shown. If you are in update mode in Purchase PO Audit Report, the WM transaction record total is specified in the quantity Received field. WM transaction record reconciliation will only be available for Warehouse Manager-controlled product purchase orders that are in Stage 0 (Entered), Stage 1 (Ordered), or Stage 2 (Printed).

Purchase Pre-Receiving Report

This report provides a recommendation of storage locations for incoming Warehouse Manager-controlled products. The report is structured by unit. Recommendations are based in these factors:

  • If the Warehouse Manager module is not implemented or the Product Warehouse Product Setup Warehouse Manager option is No, bins are based on the Product Warehouse Product Setup record.
  • If the Directed Bin Put Away option in SA Administrator Options-Products-Warehouse Manager is No, the product is Warehouse Manager-controlled, or the put away quantity is zero, then only the space for notes is given.
  • If the Product Warehouse Product Setup Warehouse Manager option is Yes, the Directed Bin Put Away option in SA Administrator Options-Products-Warehouse Manager is Yes, and the quantity is greater than zero, suggested locations and quantities are given.
  • If a bin is a single location, it is assumed to have unlimited capacity. If a bin is a primary location, allocation will be according to the WM Bin Location and Product Setup maximum quantity; otherwise allocation is based on the Product Warehouse Product Setup Allocate field.

Transfer Entry

For Warehouse Manager-controlled products, you can assign bins in Transfer Entry by accessing the Warehouse Manager Bin Allocation function.

Transfer Entry Print Warehouse Transfer Report

If bins have not been assigned in Transfer Entry, recommended bin locations for picking are presented based on the SA Administrator Options-Products-Warehouse Manager parameters. The expected pick quantity will be placed in WM Bin Location and Product Setup Committed field. Transfer Entry can be re-entered after picking to adjust bin locations and quantities.

Transfer Shipping Entry

Bin locations and quantities can be adjusted in Transfer Shipping Entry. Upon update, the WM Bin Location and Product Setup Committed balances will be adjusted. If quantities have been over- or under-allocated, you will receive an error.

Transfer Pre-Receiving Report

When a product arrives at the receiving warehouse, the Transfer Pre-Receiving Report is run. The report shows recommended quantities and bin locations to put away for all products, Warehouse Manager-controlled or not. For Warehouse Manager-controlled products, the report recommends WM Bin Location and Product Setup bin locations based on the SA Administrator Options-Products-Warehouse Manager parameters selected and on the WM Bin Location and Product Setup product record. The expected quantity for each bin location is in the WM Bin Location and Product Setup Received field.

Transfer Receipt of Inventory Entry

Run Transfer Receipt of Inventory Entry after the product is put away. The bin locations and quantities can be adjusted for each line of the transfer. Upon update, quantities will move from WM Bin Location and Product Setup Received to On Hand quantities.

Transfer Exception Receipts Entry

If an over- or under-shipment error has occurred, the shipping warehouse bin quantities are adjusted through Transfer Exception Receipts Entry. You will be prompted through Warehouse Manager Bin Allocation function popups for WM bin assignments.

Kit Production

Work orders within Kit Production interface with Warehouse Manager because the bin location for the newly built product must be assigned. The Work Order printout automatically assigns the bin location for the product being built and you can access the Warehouse Manager Bin Allocation function from KP Work Order Center Entry. In addition the bin location where the components are coming from must be assigned.

VA Receipt of Inventory Entry

In VA Receipt of Inventory Entry, the Warehouse Manager Bin Allocation function is available when you drill down an order. Select the Receiving view, and click Warehouse Manager. Use the function for setting the received product’s bin allocations.

A Warehouse Manager Bin Allocation function is also available from VA Entry Receipt of Inventory section line items. Each section's Warehouse Manager Bin Allocations will be required before a section can be closed. The received item’s Warehouse Manager Bin Allocations will be required before the VA can be fully received.

During receiving in VA Entry Receipt of Inventory or Purchase Entry Receipt of Inventory, an Inventory in (II) section can be created. The Warehouse Manager Bin Allocation function will also be available from the Inventory in (II) section creation window. The VA order cannot be received until all WM products on an Inventory in (II) section have Warehouse Manager Bin Allocations. If necessary, you can use VA Order Entry to update these sections.

VA Shipping Entry

In VA Shipping Entry, the Warehouse Manager Bin Allocation function is available on the Inventory in (II) sections you are completing. You will be required to specify the WM Bin Allocation amounts before the update can be processed.

VA Order Entry

In VA Order Entry, for Warehouse Manager products, the Warehouse Manager Bin Allocation function is available on lines in the Sections view: Inventory components (IN), and Inventory in (II) sections.
